Scope of Work: Reporting to the Executive Assistant of the CEO, the Administrative Manager provides high-level administrative support to the office of the CEO, performing a variety of administrative duties and skilled tasks as assigned, which includes assisting in the administration of projects, the management of the location office and front desk duties.ResponsibilitiesResponsible for assisting operations in the planning and execution of projects, as well the administration of the location office, including the scheduling of business activities, preparation of various documents, greeting visitors at the front desk, management of telephone and email correspondence, conducting research for special projects, and various other responsibilities as assigned.Position Requirements
  • Uses Gaylor Performance Values as tools to carry out all job responsibilities.
  • Maintains confidentiality of all information.
  • Assists the Executive Assistant with the day-to-day operation of the location office.
  • Works with project teams to ensure attainment of project objectives.
  • Schedules and maintains calendar of appointments, meetings, travel itineraries, and coordinates related arrangements.
  • Prepares, composes, and initiates correspondence, memoranda, presentation materials, and reports.
  • Organizes and prioritizes workload to meet deadlines.
  • Answers and screens telephone calls, takes messages, provides information, or redirects calls as appropriate.
  • Receives and directs visitors.
  • Arranges meetings and conferences and prepares and distributes meeting agendas and minutes as required.
  • Utilizes the assistance of others on “as needed” project basis.
  • Maintains appropriate records, files, documentation, etc.
Minimum Requirements:
  • Education: High school/college graduate, holder of G.E.D., or equivalent studies/experience.
  • Experience: Strong executive administrative, organization, computer, and communication skills.
  • Bilingual: English and Spanish Speaking required.
