- Successfully implements and maintains an effective dispatch system.
- Schedules shop work to facilitate maximum productivity in accordance with dealership policy and the technician skill level required.
- Prioritizes and controls all comebacks to ensure proper and prompt attention.
- Reviews job status frequently, logging status, and reporting any change in time to the appropriate Service Consultant/Advisor and/or Client.
- Maintains an organized and up-to-date repair log.
- Reviews Service Technician Repair Orders (ROs) to ensure that assigned work has been performed and the RO has been properly completed; opens and closes repair orders.
- Monitors repair activity represented in ROs for consistent application and compliance with established Company policies, procedures, processes, and practices.
- Prioritizes and quickly processes work as needed to meet Client promise times.
- Ensures concise and clear communication with all internal and external Clients; communicates job status with the next shift Supervisor.
- Ensures that Service Technicians follow warranty material disposition procedures as required.
- Prepares a list of needed Service Department equipment, supplies and required repairs; reviews list with the Service Manager as needed.
- Coordinates parts requirements with the Parts Department; promptly contacts Client to schedule an appointment upon receipt of special order parts.
- Advises Parts Manager and Service Manager of repetitive shortages.
- Ensures claims are input correctly and on a timely basis with all relevant information included.
- Seeks out and understands all manufacturer’s publications relevant to warranty claim administration.
- Maintains accurate knowledge on all warranty claim processes and procedures.
- Ensures repair order document storage complies with established corporate, legal and manufacturer’s retention requirements.
- Processes warranty claims on a timely basis for each franchise or distributor.
- Processes all warranty paperwork to ensure proper documentation.
- Verifies claim criteria required by factory or distributor.
- Reconciles all warranty receivables with payments through the appropriate accounting schedule.
- Resubmits all rejected claims promptly or receives authorization to write them off.
- Universal Technical Institute (UTI) or Technical School graduate, or equivalent training and experience,
- High school graduate or equivalent;
- Automotive administrative experience preferred.
