
Optimal Aging Initiative (OAI) Admin Services Coordinator

- Serve as a resource for Center members, including students, faculty, staff, and the public interested in the OAI and the Csomay Center.
- Coordinate and schedule OAI meetings, arranging meeting space and virtual links.
- Prepare meeting agendas and compose and disseminate meeting minutes as needed.
- Provide administrative support for faculty members related to OAI activities.
- Assist with the planning, organizing, and execution of OAI events.
- Provide administrative support for the OAI.
- Perform other duties as assigned by the Outreach, Education and Programming Coordinator and/or Center Director.
- Serve as student advisor/supervisor for undergraduate intern experiences ensuring student receives quality experiential learning and engagement with Csomay members, partners and community organizations that serve older adults.
- Plan, implement, analyze and provide summary of results relating to data collection regarding OAI programming.
- Initiate purchasing requests in university systems as requested.
- Ensure OAI invoices are processed, reconciled, and billed accurately and in a timely manner.
- Participate in and adhere to cash handling controls according to university policies and procedures.
- Review the budget each month to ensure proper spending and balanced accounts.
- Serve as the primary contact for OAI scheduling, maintain calendars, and support responding to routine inquiries, tasks, and procedures.
- Identify, create, review, and circulate relevant information to CON faculty, staff, and Center members.
- Evaluate requests and exercise discretion and judgment in providing confidential information to appropriate parties.
- Exercise discretion and judgment in interpreting UI policy and procedure, seeking clarification from the supervisor as appropriate.
- Work in partnership with the Outreach, Education and Programming Coordinator to create and maintain a listserv and/or a CRM (SalesForce) of OAI contacts for marketing and communication purposes.
- Help plan, promote, and implement OAI programs.
- Compose and edit OAI correspondence.
- Circulate appropriate information relevant to the OAI.
- Maintain effective working relationships with faculty, staff, students, and the public.
- Work with Csomay Center Administration and Communications Coordinator to maintain OAI social media strategy and content creation.
- Develop OAI marketing materials such as brochures, flyers, and posters for distribution and maintain marketing material supplies, i.e.: shirts and other promotional items.
- Set up outreach meetings with community members, donors, and other stakeholders as directed by Outreach, Education and Programming Coordinator.
- Travel for purposes of any necessary events to enrich the Csomay Center or the OAI.
- Bachelor's degree or an equivalent combination of education and experience.
- Typically, six months or more of professional administrative or office experience including working in a public contact setting which includes in person, email, and phone contact.
- Typically, six months or more of experience in marketing and communications.
- Proficiency in Microsoft Office, including Excel, PowerPoint, Word, and Outlook.
- Strong attention to detail.
- Ability to work independently, and to set and execute work priorities.
- Strong written and verbal communication skills, and interpersonal skills; demonstrated by the ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through appropriate communication methods and behaviors to provide excellent customer service and maintain working relationships.
- Ability to balance multiple competing priorities.
- Demonstrated experience using Adobe products and Canva.
- Working knowledge of email marketing software, such as Constant Contact.
- Working knowledge of Microsoft Teams.
- Experience in website development and maintenance, using content management systems (e.g., Drupal, Wordpress) to develop and to write and edit content for websites.
- Working knowledge of issues and challenges experienced by older people in the US and their family caregivers.
