ResponsibilitiesThe National Transitions Accounting Coordinator is responsible for assisting with the accounting related onboarding and offboarding processes of properties within the Willow Bridge portfolio. This role ensures all tasks related to property accounting transitions are completed efficiently and accurately. This role requires coordinating with Regional and National teams, utilizing project management tools and financial efficacy over various clients. The National Transitions Accounting Coordinator will also provide support and innovative solutions to enhance the transition process. Key responsibilities include, but are not limited to:
  • Transition Coordination
  • Attend and support transition calls with Regional and National teams.
  • Serve as the primary project manager for accounting onboarding of new properties and work closely with Regional Transitions Coordinators with the onboarding and offboarding of properties.
  • Track and ensure the completion of all property transition tasks in Smartsheet for all accounting functions and supporting departments.
  • Support
  • Assist with Due Diligence support as needed.
  • Remain up to date in all areas of property management and accounting processes and policies within Willow Bridge Property Company.
  • Process Improvement
  • Provide suggestions and solutions to enhance the property transition process.
  • Special Projects
  • Lead and execute special projects as assigned by the Senior Manager of Accounting Services
  • Collaborate with accounting leadership with other departments on cross-functional projects to improve overall transition efficiency.
  • Specific Accounting Conversion functions
  • Management Change/Sales Onboarding
  • Manage manual entries for accounts receivable, delinquency, security deposits, prepaids and any additional opening balance transitions.
  • Coordinate bank account setup with Cash Management Questionnaire, client review and legal requirements for state.
  • Ensure all relevant data and information for conversion is received and establish an Accounting Report data room.
  • Work with each assets priority schedule to meet incoming client start date.
  • Manage Proration schedule for incoming proration schedules.
  • Communicating frequently with management.
  • Management Change/Sales Offboarding
  • Support reporting and information transfer to new management company or purchaser teams for all data, records or verification requests.
  • Coordinate proration schedules with Accounting Operations
  • Ensure all balances to WB through IPA/Due to/from are resolved as priority use of current cash. Work with teams to ensure allocation and billings for corporate costs are closed and payroll has ended.
  • Work with teams on bank rec at go dark date, ensure cash reserves for any final payroll, AP and additional reserve is in place or request a funding.
  • After 30 Days: Confirm all billing is ended and final payrolls completed. Validate final transition check list items for management changes and closing plan.
  • After 30-90 Days: Confirm final bank rec and transfer are completed. Ensure Suspense is zeroed out and cash accounts closed. Submit IT ticket for Closed status on the entity.
  • Communicating as needed with new management/ownership.
  • New Construction - Fee Managed
  • Coordinate bank account setup with Cash Management Questionnaire, client review and legal requirements for state.
  • Ensure all relevant data and information for conversion is received and establish an Accounting Report data room.
  • Manage Preleasing accounting requirements
  • Manage a cash reconciliation for funding and construction draws.
Qualifications
  • At least 2-5 years of property accounting experience including in-depth knowledge of all property management systems and programs that are performed at a site level.
  • Bachelor’s Degree preferred.
  • Proficient in Microsoft Word, Excel, Yardi, and familiarity with Entrata & OneSite.
  • Understanding of utility management services
  • Highly motivated self-starter capable of working independently and in a team environment.
  • Exceptional listening skills, ability to solve problems, and patience with team members of all skill levels.
  • Demonstrated ability to work with multiple priorities and prioritize effectively to ensure successful completion of projects.
