- Schedule, organize, and assign daily tasks and preventive maintenance activities.
- Supervise and guide staff; assist in emergency planning and response.
- Lead hiring processes in coordination with HR, including interviews and onboarding.
- Conduct performance evaluations and provide ongoing training and communication.
- Promote a culture of openness and ensure policy adherence.
- Identify renovation needs and coordinate solutions with senior leadership.
- Determine project feasibility for internal handling; obtain and review contractor bids when needed.
- Maintain quality control and anticipate capital improvements.
- Oversee preventative maintenance programs for HVAC, electrical, plumbing, and structural systems.
- Ensure compliance with all building codes and regulations.
- Partner with the Head of Security to manage fire safety, drills, and security systems.
- Implement and oversee recycling and hazardous material programs in compliance with state regulations.
- Coordinate safety and maintenance for satellite offices and field sites.
- Attend safety committee meetings and conduct regular building inspections.
- Design and maintain AutoCAD plans and layouts for offices and GUARD complex buildings; manage space planning for relocations.
- Negotiate vendor contracts and update insurance certificates; maintain contract folders and policy manuals.
- Maintain current vendor listings and conduct pre-bid conferences for large projects.
- Prepare and administer construction contracts; monitor project schedules and inspect ongoing work for compliance.
- Oversee all activities in Property Management and Security departments alongside the Property Management Team Lead and Head of Security.
- Serve as backup to all security functions as needed.
- Provide guidance and support to team members as needed.
- Oversee inventory management and reduce administrative inefficiencies.
- Maintain accurate and up-to-date inspection and maintenance records.
- Perform additional duties as assigned.
- A bachelor’s degree or higher in a field related to Commercial Property Management or 7 to 10 years of hands-on experience in Commercial Property Management
- Proven supervisory experience and leadership capabilities
- Strong working knowledge of commercial building systems, including HVAC, electrical, plumbing, roofing, fire prevention, and security
- Proficiency with Microsoft Office Suite, particularly Outlook (Exchange), Excel, and Word
- Solid understanding of building codes, regulations, and compliance requirements
- Exceptional written and verbal communication skills
- Strong networking and relationship management skills, particularly with third-party vendors
- Demonstrated negotiation expertise, especially in handling commercial contracts and construction projects
- Experience in office space planning and reconfiguration, including coordination with furniture vendors
- Familiarity with AutoCAD is a significant plus
- Experience with surveillance and security access systems/software such as CCURE, Virtual Keypad, or similar platforms, with a focus on system management and oversight
