SummaryAmerican Towers Owners Association, a prestigious high-rise condominium, is seeking a dedicated and organized Administrative Assistant to join our team. The ideal candidate will possess strong communication skills, attention to detail, and a customer service-oriented mindset. As the Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our front desk and providing exceptional administrative support to our residential community.Duties
  • Maintain the front desk for residential customer service, greet residents and visitors, and provide assistance as needed.
  • Open, sort, and distribute incoming mail and packages.
  • Answer and direct phone calls and emails in a professional and courteous manner, providing information and assistance as required.
  • Process work orders submitted by residents, ensuring timely and accurate completion and follow-up.
  • Coordinate and process move-in and move-out requests, including scheduling elevator usage and providing necessary documentation to residents and movers.
  • Maintain and manage access control systems, including issuing and tracking key fobs and access cards for residents and staff.
  • Manage the scheduling and reservations for the Community Room, ensuring availability and proper setup for events and meetings.
  • Assist in maintaining security awareness throughout the building, including monitoring surveillance systems and reporting any security concerns to management.
Requirements
  • High school diploma or equivalent; additional education or certification in office administration or related field is a plus.
  • Proven experience in a similar administrative or customer service role, preferably within a residential or property management environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management and office equipment.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with residents, vendors, and team members.
  • Strong organizational skills and the ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Knowledge of access control systems and security protocols is desirable.
