
Administrative Assistant, Legal Department (part-time)

- Provide administrative support to the General Counsel requiring the exercise of independent judgment on complex administrative matters involving sensitive and confidential information.
- Communicate (clearly and effectively) with members of the Legal Department and coordinate with other assistants within the organization.
- Prepare correspondence, including a variety of letters, memoranda, reports, charts, tables, legal forms, etc.; prepare agendas; transcribe minutes; compose documents from handwritten or verbal instructions; review documents for completeness and accuracy including proper format, grammar, spelling, punctuation, and adherence to policy and procedure; extracts and compile data and other information for reports; copy and distribute information.
- Develop, maintain, and manage accurate and organized manual and computerized filing systems; must be able to provide documents or information when requested, and create new files and filing systems when needed.
- Assist the attorneys and paralegals supporting the Boards of Directors/Trustees of the Hartford Funds Family of Funds, including maintaining various corporate documents. Assist in preparing, editing, and publishing notices, agendas, and materials in connection with Board and Committee meetings.
- Manage complex calendaring of busy, fluctuating schedules that often conflict, includes adding, canceling, and editing meeting requests, as well as ensuring timing and logistical details are in place.
- Maintain records related to billing for professional services, including establishing billing matter numbers within the legal accounting and invoice system. Assist the General Counsel and other attorneys in various budget-related matters, including preparing reports and coordinating with the Finance Department.
- Arrange and manage business travel and prepares expense reports.
- Assist attorneys in maintaining state law licenses and continuing legal education requirements.
- Manage the subscriptions for professional publications and the availability of office supplies for the team.
- 5+ years of relevant experience with the ability to quickly develop a general understanding of firm’s business operations.
- Proficiency in the Microsoft Office suite of desktop applications and the ability to quickly learn other applications used by the team is required. Document management, recordkeeping, and general organizational skills are essential to successfully perform in this role.
- Demonstrated exceptional document management and recordkeeping skills, and general organizational skills.
- Ability to build relationships and interact and communicate with individuals at all levels of the company, including the senior leadership team, and representatives from outside firms providing professional services (law firms, auditors, etc.).
- Must be capable of exercising judgment, work independently, and the ability to multi-task and manage competing priorities effectively.
