Our mission is to promote a dignified and sustainable living environment through the provision of quality affordable housing.JOB DESCRIPTIONThe Administrative Assistant is responsible for providing efficient administrative support to ensure the smooth operation of the office. This role involves managing various tasks including handling mail, assisting tenants, maintaining office equipment, and supporting staff members. Additionally, the Administrative Assistant will provide executive support to the President/CEO by managing their schedule, making travel arrangements, and assisting with communication and documentation.ESSENTIAL DUTIES AND RESPONSIBILITIESRoles and Responsibilities (40%)Retrieve mail from the post office in the morning and afternoon.Copy checks for tenant rent payments and distribute them accordingly.Greet tenants paying monthly rent in person and provide receipts.Stamp date received on regular mail and take outgoing mail to the Post Office.Maintain and operate the postage machine.General Duties (30%)Maintain and troubleshoot the copy machine.Order and manage office supplies inventory.Assist staff members with various office duties as needed along with managing office phone systems, including messages and recordings.Monitor outside surveillance via video. Admit people into the building and maintain visitor logs.Duties and Responsibilities for the President/CEO (30%)Maintain and manage the President/CEO’s calendar.Arrange travel reservations and accommodations.Schedule appointments and make reservations as needed.Create and distribute the monthly newsletter.Schedule and coordinate virtual meetings using Teams or Zoom.Record and transcribe meeting minutes.Provide agenda and minutes for the weekly staff meetings.
  • Perform other tasks and responsibilities as assigned by the President/CEO.
REQUIRED QUALIFICATIONS:High school diploma or equivalent; additional qualifications in Office Administration or related field is a plus.Proven experience as an administrative assistant or relevant role.Proficient in Microsoft Office Suite and office equipment operation.Ability to multitask and prioritize tasks effectively.Discretion and confidentiality in handling sensitive informationPREFERRED QUALIFICATIONSExcellent communication and interpersonal skills.Strong organizational and time-management abilities.SALARY: up to $45,000Note: Other duties as assigned may include additional responsibilities as needed for the smooth functioning of the housing department..
