- Maintain and prioritize the Outlook Calendar and tasks for team on daily, weekly, and monthly basis.
- Coordinate domestic and international travel and build organized, detailed trip itineraries.
- Compiles information and create presentations in Microsoft PowerPoint/Keynote if needed.
- Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and when needed, takes meeting notes
- Responds to sensitive and highly confidential information with discretion and professionalism.
- Complete and submit expense reports in timely matter
- Prepares outgoing emails to leader's organization
- Organizes and maintains file system and files correspondence and other records.
- Orders and maintains supplies and arranges for equipment maintenance for team.
- Work with other department admins to schedule meetings, align leader's calendars, and stay up to date on what is happening cross-functionally
- Willingness to be flexible in staying late and working at offsite events if needed
- Must possess a service-oriented mindset.
- Ability to support multiple VP+ leaders and design team
- Able to work in a fast-paced environment with the ability to multi-task and remain calm under pressure.
- Self-motivated, proactive and capable of both working within a team environment and independently.
- Ability to authentically connect with people in a positive and optimistic way.
- Enjoy working and connecting with people at all levels of the organization and solving problems on behalf of the leader.
- Flexible with change and able to shift gears quickly.
- Proven ability to be a gatekeeper for the leader by providing excellent customer service skills to internal and external partners by using tact and good judgment.
- Proven ability in keeping leader focused and organized.
- Strong Communication skills. Able to express facts and ideas in writing in a clear, convincing and organized manner; listen effectively, and clarify information as needed.
- Bachelor's degree (B. A.) from a four-year college or university preferred; and 3-5 years' experience working in a professional business environment and/or providing administrative support.
- Location: This individual must reside within commuting distance from our Baltimore, Maryland office.
- Return to Work Designation: Three (3) days a week in-office, the remainder of work week remote.
