This position offers growth potential into a Client Service Specialist role and plays a key part in driving operational excellence and client satisfaction.
  • Coordinate calendars, schedule meetings, and serve as a welcoming point of contact for clients.
  • Prepare reports, meeting materials, and basic client paperwork for account maintenance and money movement.
  • Ensure smooth daily office operations, including supplies, mail handling, and vendor coordination.
  • Manage emails, scanning, digital filing, and other clerical duties to support an organized and efficient workflow.
  • Collaborate on special projects and assist with operational improvements and process automation.
  • Uphold confidentiality, compliance policies, and E&O risk protocols in all work.
  • Foster a positive, professional work environment with staff and clients alike.
Requirements:
  • Proficiency with AI tools, task management systems, CRM systems (Redtail preferred), and Microsoft Office.
  • Detail-oriented, able to juggle multiple priorities, and motivated to contribute to team goals.
  • Demonstrated integrity, discretion, and adherence to regulatory guidelines.
  • Bachelor's degree or 2+ years of equivalent experience administrative, ideally in finance or wealth management.
