We are seeking a detail-oriented and highly organized Administrative Analyst to support executive leadership with data analysis, reporting, and administrative functions. This position plays a critical role in compiling, reviewing, and interpreting operational and financial information to support decision-making within the production side of the enterprise.Job Summary: The Administrative Analyst will work directly with the CEO of Production, providing a hybrid of high-level administrative support and business/financial analysis. This role requires strict confidentiality, precision, and strong organizational and analytical skills. The Administrative Analyst will be responsible for managing sensitive information, compiling and analyzing production and financial data, and preparing executive-level reports and presentations that support strategic decision-making.Supervisory Responsibilities:

Duties/Tasks/Responsibilities:
  • Prepare meeting agendas, compile briefing materials, and record notes and action items.
  • Draft, proofread, and manage confidential correspondence, reports, and documents.
  • Maintain accurate and organized digital and physical filing systems.
  • Maintain strict confidentiality in handling sensitive business and personnel information.
  • Develop and maintain organized digital and physical filing systems for executive documentation.
  • Collect, consolidate, and validate production, operational, and financial data from multiple departments.
  • Create, update, and maintain spreadsheets to track, costs, budgets, and productivity
  • Perform variance analysis and trend reporting to support executive decisions.
  • Ensure accuracy and consistency of data through validation and reconciliation processes
  • Design and prepare professional PowerPoint presentations for executive and board meetings.
  • Build dashboards and reports to monitor performance against strategic goals.
  • Provide weekly, monthly, and quarterly reporting to leadership.
  • Draft concise executive summaries highlighting risks, trends, and opportunities
  • Partner with all departments to gather accurate data when needed.
  • Coordinate deadlines and reporting deliverables across departments.
  • Act as a point of contact between the CEO of Production and department managers for project needs.
  • Support executive monitoring of company initiatives and projects.
  • Track and report on progress toward strategic business goals.
  • Identify process improvements in reporting, data management, and administrative workflows.
  • Demonstrates a willingness to take on new tasks with a general attitude that no task is too small, impossible, or cannot be improved.
  • Work autonomously while ensuring CEO of productions expectations are readily met and exceeded.
  • Maintain a clean and safe working environment
  • Consistent and Reliable attendance is mandatory

Required Skills/Abilities:
  • Must be able to work under extreme pressure at times.
  • Problem-solving skills, with the ability to think critically, adapt quickly, and resolve roadblocks efficiently.
  • Strong analytical skills with the ability to interpret complex data and translate into actionable insights.
  • High level of discretion and confidentiality in handling sensitive company and personnel information.
  • Advanced proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
  • Excellent organizational skills and attention to detail; ability to manage multiple tasks under tight deadlines.
  • Strong written and verbal communication skills, including the ability to draft executive-level documents and presentations.
  • Ability to work independently with minimal supervision, while also collaborating effectively with cross-functional teams.
  • Professional presence with the ability to interact effectively with executive leadership, and staff
  • Ability to adapt quickly to changing priorities and business needs.
Education and Experience:
  • Bachelor's degree in Business Administration, Finance, Data Analytics, or a related field preferred.
  • Associate degree with equivalent relevant work experience may be considered.
  • Demonstrated experience in an administrative, analyst, or hybrid role required.
  • Advanced proficiency in Microsoft Excel (pivot tables, charts, formulas) and PowerPoint (executive-level presentations).
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times (e.g., carrying files, presentation materials, or equipment).
  • Ability to move between office areas to gather documents, attend meetings, or coordinate with departments.
  • Visual acuity to review and analyze detailed spreadsheets, reports, and presentations.
  • Manual dexterity to operate standard office equipment such as computers, printers, and copiers
