- Assist the Sr. Business Development Manager and Vice President in the coordination and execution of proposal and qualification development.
- Manage the full proposal and qualification lifecycle, ensuring compliance with client requirements, branding, and internal quality standards.
- Collaborate and coordinate with team members including Proposal Managers, Subject Matter Experts (i.e. Engineering Managers and Engineers), Company Leadership members, and other support staff to ensure Client submission deadlines and quality requirements are fully satisfied.
- Develop, format, and edit proposal content including text, graphics, resumes, and project profiles.
- Coordinate and support the creation of presentations, brochures, newsletters, LinkedIn posts, and other marketing communications.
- Plan, create, and publish content for LinkedIn and other social media platforms, working in collaboration with HR to expand brand visibility and engagement.
- Maintain and update marketing databases, CRM tools (Cosential), and website content (WordPress).
- Utilize Ariba and similar supply chain platforms for client and vendor engagement, including prequalification, procurement workflows, and electronic proposal submissions.
- Coordinate company participation in conferences and events, including visual design, logistics, booth setup, promotional materials, and onsite support.
- Assist in managing company branding, visual identity, and marketing campaigns using tools such as Adobe Creative Suite (InDesign, Photoshop, Illustrator).
- Contribute to continuous improvement initiatives in proposal, marketing, and event management processes.
- Bachelor's degree in Marketing, Communications, or related field highly preferred
- A minimum of 3 years prior experience as a Marketing or Proposal Coordinator in an AEC (architecture/engineering/construction), engineering, or services environment
- Proficiency with Adobe Creative Suite (InDesign, Photoshop, Illustrator), Microsoft Office (Word, Excel, PowerPoint), WordPress, CRM platforms (Cosential), and supply chain platforms (Ariba)
- Experience in managing LinkedIn and social media campaigns for professional audiences
- Event and conference coordination experience, including logistics, vendor management, and design of promotional materials
- Solid organizational skills with the ability to manage multiple priorities and meet tight deadlines
- Excellent written and verbal communication skills, with a strong eye for detail and design consistency to ensure high quality Client submittals
- Familiarity with digital marketing strategies and CRM data management
- Ability to work onsite 3 days per week (3505 East Frontage Road, Suite 300, Tampa, FL 33607)
