- Return customer phone calls and generate duplicate invoices as needed
- Manage accounting records and files
- Daily, Weekly, Monthly Audits
- Any special projects assigned
- Daily ticket processing and invoicing.
- Print and mail or email all customer invoices daily.
- Print and distribute or email internal job invoices to appropriate divisions.
- File daily recaps or other accounting documentation as needed.
- Authorities: The Accounts Receivable Administrative Assistant will work closely with the Account Receivable team and seek assistance as needed for:
- Things that vary from the normal processes.
- When any problems occur.
- Any threat of litigation or situations which may lead to litigation.
- Any matter which may affect the interest of the Company.
- Non-compliance with reporting requirements to regulatory authorities.
- A high school diploma or general education degree (GED) is required.
- Must be able to understand work directions and communicate effectively with Managers and fellow employees.
- Excellent computer skills including advanced knowledge of Microsoft Excel is required.
- SAP experience is preferred, but not required
- 2+ years accounting experience is preferred, but not required
- Knowledge of journal entries a plus
- Ability to analyze information
- Ability to handle large volumes of work
- Understands deadlines
- Regularly required to sit and/or stand during a regular work shift of at least eight hours per day.
- Employee is occasionally required to stoop, bend, walk, crouch, and climb.
- Ability to lift, on a frequent basis, at least 25 pounds and carry up to 15 pounds.
- Work is performed predominately indoors.
- Assess work environment for possible hazards and makes sure training is adequate to the task.
- Has proper personal protective equipment and tools, uses them appropriately for the given task.
- Speaks up if seeing an unsafe act
- Identifies and turns in near miss reports
- Asks for help, when needed, to perform tasks safely.
- Considers if there is a safer way to perform work and communicates.
