Job Summary: Under the supervision of the Regional Chairman of the Department of Medicine, provides administrative support to the Chairman, medicine physicians, medicine APRNs, medicine PAs, UCONN residents and UCONN medical students in the Department of Medicine. As of March 2024 this includes 70+ full-time, 6+ part-time, 50+ per diem employees with 51+ residents and 60+ students rotating through annually. Responsible for managing the daily calendar for the Chief of Medicine, Hospitalist Directors, as well as the physicians. The administrator will be responsible for a multifaceted payroll system, budget revisions, physician onboarding as well as physician scheduling. Oversees and supervises day-to-day administrative operations of the support staff including recruitment, and employee relation issues.Responsibilities as Assistant to the Chief of Medicine and Hospitalist Medicine Physician Administrators:· Manages calendar and triages phone calls for the Chief of Medicine, Central Region Director of Hospitalist Medicine, Site Directors of Hospital Medicine and the Associate Site Director of Hospital Medicine· Assists with letters of complaint, correspondence, and UConn faculty appointment paperwork· Takes minutes of the full-time faculty meetings (at HOCC and MidState)· Performs other duties as assignedResponsibilities as Administrator for Department of Medicine:· Inputs department payroll for Medicine, Hospital Medicine, Residents and Intensive Care· Physician recruitment and orientation· Assists with resident and student orientations and residency interviews· Prepares and facilitates CME, licensure and professional society dues for members of the department· Provides administrative support as needed for divisions within the department in addition to the hospitalist service: infectious disease, critical care, pulmonary, palliative care, GI, endocrinology, cardiology and the PCIM residency program· Processes encounter fees for CT GI and cardiologists· Ensures department-charged expenses are accurate using the AP/GL listings· Oversees department contracts and associated time reports· Oversees CMS quarterly time reports· Maintains and distributes the monthly departmental calendar· Schedules departmental meetings· Prepares capital equipment requests· Coordinates bi-weekly Department of Medicine Grand Rounds· Manages departmental correspondence/faxing/scanning· Enters and tracks IT work orders· Coordinates and processes departmental food orders· Serves as the liaison between the department and other departments at HOCC/ BDL and MMC· Orders and tracks supplies, equipment, lab coats and business cards· Coordinates the recruitment of support staff and supervises and mentors support staff· Assists with physician onboarding· Initiates Position Requisition Forms for all new hires· Performs other duties as requiredQualificationsMinimum Qualifications: Bachelor’s degree required. Minimum 5 years office experience in a health care setting with progressive responsibilities. Previous management or team lead experience required. Demonstrated leadership skills. Proficiency in Microsoft Office including Excel, Word, and PowerPoint.Critical Success Factors: Excellent interpersonal skills. Knowledge and skill to independently plan, prioritize, implement, and follow-through on tasks with competing deadlines. Excellent analytical skills and the ability to understand, interpret, and communicate data derived from numerous sources. Excellent oral communication skills in person and over the telephone.
