These duties include general administrative duties such as general reception, making, processing bail refunds, making copies, filing, inter-office mail distribution, general data entry, completing and processing payroll actions, and other duties as assigned. This position also included more complex fiscal responsibilities that includes assisting the JSA Administrative Coordinator-Centralized Bookkeeper in preparing, processing, and filing of all D365 payments for the Justice Services Department.Secondary responsibility is to assist the Courts with the electronic court case management system by providing technical assistance, training, and developing-updating training manuals for clerks or other case management users. The employee will work with Court Administrators/JSA in updating electronic cases records by transferring data from Laserfiche, updating court dispositions, or updating other case information that correctly reflects the court record on file.Examples of Work Performed:Assist in the processing and records management of personnel files, payment of bills, and general bookkeeping.Will assist the JSA Coordinator in processing and/or storing electronic copies of D365 payments.Assist JSA Coordinator to monitors grant and contract terms, conditions, and deliverables to ensure all compliances are maintained relative to expenditures and established budgets. Concerns and actions are reviewed with the JSA Coordinator, program managers, and/or deputy director.Provide excellent customer service for Court patrons and agency staff. This may include front reception on an occasional basis.Assist the office in track statistical data/information for the services provided by the departmental programs to assist in grant writing and or reporting as required.Assist in coordinating meetings, training, and or annual retreats.Processing requisitions, purchase orders, and travel authorizations.Payroll or travel check distribution.May be assigned new projects and tasks not included on the description, including Code Revision assignments, or to assist other Justice Services Programs as assigned by supervisor.May be assigned to handle operational problems or questions referred by support staff.Provides administrative assistance to Justice Services Programs and to the Justice Services Deputy Director.Transfer documents/files from Laserfiche and create a new, proper file name for court documents that provides for easy identification and access in the electronic case management systems by court users.Update case dispositions in the Court Case Management System Manual. Ensures that users have ongoing access to the manual.Provide initial training to court Clerks, Bailiffs, Court Administrator, and Judges on the Court Case Management System.Provide periodic trainings t non-Court programs/staff on the Court Case Management System such as NNWS, YN Corrections, YN Public Safety, YN Prosecutor's Office, YN Probation, YN YCS, YN Public Defender's and YN CASA. This list may be updated as allowed by the JSA.Knowledge, Skills and Abilities:Knowledge and use of general office practices and procedures, and appropriate and excellent telephone and customer service etiquette.Knowledge of Yakama Nation, its members, and its history, customs, and traditions of good moral character.Knowledge of tribal administrative, fiscal, and records management policies and procedures.Knowledge and use of general office practice and procedures, and appropriate and excellent telephone and customer service etiquette.Must be proficient user of the D365, fax, scanner, and Mirosoft Office systems: Word, Excel, andPower Point, and Isolved.Familiarity with or willingness to learn the Internet for research needs.Ability or willingness to work with computerized Court docketing system.Good reading, logic, and writing skills.Ability to address problems, issues, and complaints tactfully, courteously, and effectively.Ability to classify accounting transaction, maintain and reconcile accounting, close-out accounts and prepareReports and statements.Ability to establish and maintain effective working relationships with employees, administrators and the general public.Ability to remain flexible to changes in assignments or situations, priorities and handle frequent interruptions.Ability to communicate effectively both orally and in writing.Ability to understand and apply available court guidelines and explain guidelines to the general public.Ability to complete all bookkeeping functions, routine and non-routine.Ability to investigate problem areas and follow thru on recommended solutions.Ability to prepare payroll information and maintain departmental payroll files and information, including payroll actions and leave audits.Ability to work under stressful conditions and ability to manage multiple complex projects and tasks with competing deadlines.Ability to understand general key court processes, definitions, and concepts.Ability to maintain the highest level of strict confidentiality.Minimum Requirements:Associate Degree in Business accounting or related field.Three years of experience as a bookkeeper IV.Required to pass a pre-employment drug test.Required to pass a pre-employment background check.Must have a current and valid Washington State Driver's License and own transportation.Must be notary public, or ability to obtain within six months of appointment.Must have never been convicted of a felon; never been convicted of a misdemeanor within one years of appointment.Enrolled Yakama Preference, but all qualified applicants are encouraged to apply.
