
Catering Coordinator - The Children's Museum

- Input and maintain all event data including inquiries, holds, and confirmed bookings
- Create detailed function sheets, captain packets, signage, and buffet menus
- Assist with walk-throughs, tastings, and on-site event coordination
- Assemble and manage organized event files (orders, invoices, contracts, etc.)
- Process COI requests, track deposits, and support monthly invoicing and reporting
- Prepare proposals and staffing requests for upcoming events
- Collaborate with marketing to promote events and support sales efforts
- Research vendors and sourcing options as needed
- Coordinate internal communications to ensure all departments are aligned
- Schedule appointments, meetings, and travel for the catering team
- Provide outstanding service and communication to clients throughout their event journey
- Additional duties as assigned to support the catering and restaurant teams
- Skilled multitasker with sharp attention to detail and strong organizational habits
- Excellent communication and customer service skills
- Proficient with MS Office (Word, Excel, PowerPoint, Outlook); experience with reserve systems a plus
- Ability to work a flexible schedule including some nights and weekends
- Must have or willing to obtain an Indiana Liquor License, ServSafe Alcohol and Food Handling License
- Must have cash handling experience
- Will be required to supervise front of house as needed
