Our office currently has an opening for a Front Office Administrator. We are looking for a detail-oriented, dependable team member to perform day-to-day front office operations. This is an essential position that ensures smooth workflow and supports the entire office team.As the first point of contact for clients, caregivers, and visitors, this role plays a key support function for our care managers, hiring manager, and leadership team by managing communication flow and maintaining an organized, welcoming front office environment.Key ResponsibilitiesFront Desk & Communication ManagementGreet and assist walk-in clients, caregivers, and visitors in a professional and courteous mannerAnswer and direct phone calls, emails, and internal messagesMaintain updated contact lists and assist in internal office communicationScheduling & Office Calendar SupportMaintain and coordinate office calendars for staff meetings, appointments, and hiring schedulesSend timely reminders and ensure coordination of daily schedulesHiring & On-boarding SupportWork with the hiring manager to organize on-boarding paperwork and orientation materialsSchedule fingerprinting, background checks, and other on-boarding requirementsEnsure timely completion and filing of all new hire documentationAdministrative & Office SupportScan, file, and organize important documentsPrepare intake packets and set up work-spaces for care managersTrack office inventory and manage supply orderingPayroll & Timekeeping AssistanceCollect caregiver direct deposit forms and verify documentationMonitor timekeeping records and assist with clock-in/clock-out issuesEnsure all manual and digital time sheets are submitted accurately and on scheduleQualificationsHigh school diploma or equivalent required.Minimum 1 year of experience in an administrative, receptionist, or office support roleStrong proficiency in Microsoft Office (Word, Excel, Outlook)Excellent verbal and written communication skillsHighly organized with the ability to manage multiple tasks simultaneouslyCommitment to professionalism, discretion, and confidentialityPreferred SkillsExperience in a healthcare, home care, or service-oriented settingFamiliarity with scheduling or HR systems (e.g., WellSky, Hireology)BenefitsMedical, Vision, and Dental insuranceSupportive team environmentOpportunity to work with a mission-driven agency focused on quality careRoom for professional growth and learningJoin us and help deliver care that is centered on well-being.
