- Oversee daily work assignments and staffing levels to ensure timely completion of tasks within required Turnaround Time (TAT).
- Monitor workloads and reassign staff as needed to maintain efficiency and coverage.
- Conduct regular staff meetings, including coordination with both onshore and offshore teams.
- Participate in client meetings to address process updates and billing-related issues.
- Perform monthly quality audits to ensure adherence to client SOPs and achievement of performance metrics.
- Track and analyze individual productivity against established goals and KPIs.
- Coach, counsel, and support staff in alignment with company policies, providing guidance on performance improvement when necessary.
- Review and approve employee timesheets, monitoring overtime and attendance.
- Assist in resolving complex billing issues, including direct communication with insurance companies when needed.
- Recommend and coordinate process improvement initiatives based on data analysis and workflow evaluations.
- Ensure staff members remain informed of policy and procedural updates, communicating SOP changes to the management team.
- Conduct performance evaluations and support the professional development of team members.
- Represent the department in management meetings and other committees as needed.
- Assist department managers with strategic planning, resource allocation, and achievement of departmental objectives.
- Act as department lead in the absence of the Manager.
- Perform other related duties as assigned.
- Bachelor’s degree or equivalent work experience.
- 2–4 years of supervisory experience in a business environment.
- Strong background in staff development, coaching, and team leadership.
- Proficiency in Microsoft Excel, Word, and other relevant software tools.
- Experience managing productivity metrics, quality assurance, and process improvements.
- Ability to collaborate with diverse teams and foster a positive work environment.
- Excellent organizational, communication, and problem-solving skills.
- High level of integrity, professionalism, and ability to maintain confidentiality.
