Job Description: Office AssistantThe Fire Island Pines Property Association (FIPPOA) is seeking an Office Assistant. With more than 500 members, FIPPOA is led by elected officers and a board of directors who oversee the operations of the community and help protect the fragile ecosystem of a barrier island. The Office Assistant will be an essential part of the FIPPOA and The Pines Foundation team and the community of Fire Island Pines.Fire Island Pines is the largest residential community on Fire Island and includes some 600 single-family homes and 100 co-op apartments. The population is as high as 4,000 in the summer and about 50 in winter. It is a prominently gay community with a reputation for diversity, welcoming to all people. Travel to work is via ferry from Sayville to Fire Island Pines.Basic Qualifications:· Strong data entry skills· Proficiency with MS Word, Excel and Outlook· Ability to communicate accurately and effectively in verbal and written form· Ability to take initiative and work independently· Strong work ethic· Excellent organizational and time management skills· Ability to handle multiple projects simultaneously· Strong attention to detail· Ability to perform lifting and some outdoor work, if required· An energetic team player in a small office· An upbeat positive attitudeJob Responsibilities:· Support the Community Manager· Responsible for scheduling events and execution of events contracts· Help with coordination of our own events including community meetings, community cleanups, etc· Responsible for sending out annual parking agreements and follow-up· Help with membership and fundraising direct mail and email campaigns· Update and maintain the FIPPOA membership database· Responsible for helping and coordinating setup and breakdown of events· Maintain website and social media platforms· Responsible for inventory and ordering of supplies· Provide general support to visitors· Responsible for scheduling of community center cleanings· Answer office phones· Maintain office filing system· Answer emails in timely manner· Send out weekly digital community bulletin board· Maintain updated information on website· Help with Pines Party magazine fundraising initiatives· Other various administrative duties as required by daily operations· Must be able to work Saturdays from April to OctoberBenefits:· Paid parking at ferry terminal· Paid ferry transportation· Paid vacation (PTO)· Bonus opportunities· Telecommuting available during winter months [December – March]· Casual dress code (shorts, t-shirts, sneakers all allowed)· Great work environment in a beach communityExperience:· 3 + years of office experienceEducation:· Associate degree or higherJob Type:· Full-timeSalary:· Salary is competitive and based on experience
