Schedule: Office hours are 8AM-5PM. A hybrid/flexible shift is available. The provides an effective and efficient government funding model that helps owners and operators of underground storage tanks meet financial responsibility and environmental cleanup requirements. PLIA has a team of dedicated professionals committed to open collaboration, innovative thinking, and delivering high quality service, to ensure success in meeting our mission.What you will be doing: You will support the agency's mission by providing exceptional customer service, preparing, and editing written documents and performing a wide variety of high-level administrative duties.DutiesSome of what you will do includes:
  • Assist staff with registration and payment for training courses.
  • Provide backup support for various reception and clerical duties, including assisting in managing PLIA's general mailbox, answering the main phone line, and returning voicemail messages from the public.2
  • Act as Travel Coordinator for the office, including completing travel requests and reimbursements.
  • Assist with completing travel requests, and travel reimbursements.
  • Provide staff with minor IT support, including assisting them with updates and performing updates to spare laptops.
  • Work closely with the Communications Team, editing technical letters, composing other correspondence and other written materials, reviewing for content and consistency with state laws, rules, and agency polices.
  • Perform data processing and records management duties.
  • Assist with recruitment activities.
  • Provide support to the Administrative Services Supervisor, assisting in a variety of specialized and/or projects.
QualificationsREQUIRED:
  • High school graduate
  • Two years of experience as an Administrative Assistant 1 or clerical or office experience.
**Equivalent education may substitute for experience requirements on a year-for-year basis.AND
KNOWLEDGE/SKILLS/ABILITIES
  • Accurately proofread and edit written documents.
  • Knowledge of basic administrative procedures, office practices, and correspondence preparation.
  • Keyboard or type accurately at a net speed of at least 50 words per minute.
  • Excellent customer service and communication skills.
  • Strong organizational skills.
  • Strong attention to detail.
  • Intermediate skill level in Microsoft Office software including Outlook, Word, Excel, and Teams.
  • Accepts personal responsibility for the quality and timelines of work.
  • Ability to maintain strict confidentiality and ethical behavior at all times.
  • Ability to learn and understand the language and concepts of our agency's culture and commit to being a part of creating and maintaining a diverse, equitable, respectful, and inclusive workplace.
  • Demonstrate the understanding that all people are valued; contribute to an equitable, inclusive, and respectful environment when working with members of the group, team, organization, or community.
  • Ability to work independently or in a team setting.
PREFERRED:
  • Experience working in a fast-paced environment with competing priorities.
  • Ability to interpret and apply applicable rules, regulations, and policies.
  • Working knowledge of Lean or other quality improvement principles.
