MaintenanceJob Summary:Reporting to the Director Operations, the Operations Support Analyst will be responsible for organizing and coordinating day-to-day activities between operations and various supporting DF departments, and providing analysis of EHS, product handling, and expense data. The incumbent will prepare detailed monthly operations reports, update and maintain operational programs, support terminal sites with vendor coordination, manage the operations spares program, and review scheduled maintenance and inspection activities within the CMMS.Job Description:Major Responsibilities :
- EHS, Operational and Expense Analysis: Review, analyze, and report on EHS data, product handling procedures, and expenses. Maintain KPIs to measure operational efficiency and safety performance.
- Review monthly CapEx forecast accuracy analysis
- Operational Program Development: Update and communicate operational programs in accordance with the department's change management system including Workday Learning material. Collaborate with cross-functional teams to gather necessary information and feedback.
- Maintenance and Inspection Reporting: Assist leadership in review, analysis and preparation of reports on scheduled maintenance and inspection activities within the CMMS.
- Work Order Management: Accurately enter and update work orders in the company's management system. Monitor the progress of work orders and provide updates to relevant stakeholders.
- Monthly Operations Reporting: Draft comprehensive monthly operations reports by consolidating terminal site reports, highlighting key performance indicators and operational achievements.
- Inventory Reporting and Discrepancy Resolution: Identify and help terminal sites resolve accounting discrepancies related to inventory.
- Change Management Support: Assist operations managers with preapproval entries in EMIS. Ensure accurate and timely entry of change requests and monitor their status.
- Operations Warehouse Spares: Manage the operational spares program, ensuring adherence to corporate warehouse spares policies. Responsibilities include overseeing inventory tracking and handling initial entries of warehouse spares within the business application program.
- Vendor Support: Assist terminal sites with vendor coordination by acting as the corporate office point of contact. This support includes ISN vendor research, YFW management, and maintaining the vendor trade matrix.
- Project Activity Analysis: Analyze and correlate project activity between FUSION, approved budget list, and MOC progress. Define metrics to be flagged and work with leadership to communicate gaps with stakeholders, and address any deficiencies.
- Maintain and update project outage plans for operations.
- Education: Bachelor's degree in Business Administration, Operations Management, or a related field.
- Years of experience: Minimum of 2 years of experience in an operations or administrative role. Experience with SAP systems and CMMS is a plus.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), SAP, and familiarity with EMIS.
- Strong analytical skills to interpret data and generate actionable insights.
- Ability to troubleshoot and resolve issues efficiently.
- Excellent verbal and written communication skills to interact with team members, stakeholders, and end-users.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Ability to work collaboratively with cross-functional teams to achieve project goals.
- Have demonstrated the ability to work safely and in compliance with site safety, health and environmental standards and practices
