
Executive Support Specialist

- Provide executive-level administrative support to the CEO and executive leadership team.
- Manage complex and shifting calendars, meetings, and priorities across multiple stakeholders.
- Prepare agendas, capture meeting notes, and track/follow through on action items.
- Assist with preparation of presentations, reports, and materials for executive and board meetings.
- Leverage digital tools and AI applications (e.g., ChatGPT, project management platforms) to improve efficiency, maintain consistency, and streamline deliverables across the organization.
- Coordinate project management efforts — monitor timelines, track deliverables, and follow up with stakeholders to ensure alignment.
- Support contract and document management processes, including routing and digital filing.
- Plan and coordinate internal, external, and client-facing events.
- Serve as a liaison across internal teams to ensure smooth communication and execution.
- Assist in onboarding new leadership team members.
- Track progress against major business priorities, projects, and deadlines.
- Coordinate travel logistics and process expense reports.
- Work onsite at Huntington Place with flexibility for occasional evenings and weekends tied to event schedules.
- 3+ years of experience as an Executive Support Specialist or in a high-functioning business operations/support role. Experience supporting C-suite or senior executives strongly preferred.
- BA/BS degree or equivalent; project management training or certification (CAPM, PMP, or similar) a strong plus.
- Demonstrated ability to manage multiple projects, track deadlines, and drive execution.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with AI-powered productivity tools (e.g., ChatGPT, workflow automation apps) and comfort adopting new technologies to drive smarter, faster outcomes.
- Experience with project management or CRM platforms (e.g., Asana, Monday.com, Salesforce).
- Exceptional written and verbal communication skills; polished, succinct, and executive-ready.
- High emotional intelligence and professional presence; able to anticipate needs and handle sensitive information with discretion.
- Onsite role based at Huntington Place Detroit with flexibility to work occasional nights/weekends depending on event schedules.
