- Managing calendars, scheduling meetings, and coordinating conference rooms and onsite meetings.
- Serving as the first point of contact for client and team communications.
- Organizing and maintaining documents, files, and network structures.
- Planning team events, coordinating with vendors, and handling logistics for both in-person and virtual gatherings.
- Arranging travel, itineraries, accommodations, and dining for executives and staff.
- Supporting teams across Miami, India, and the Ivory Coast.
- Managing client databases, ensuring accurate information updates, and setting up new client accounts.
- Drafting and maintaining records such as NDAs, proposals, and administration agreements.
- Ensuring high-quality work with strong attention to detail, timeliness, responsiveness, professionalism, and confidentiality.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with business and workflow platforms such as PandaDoc, DOMO, Salesforce, myKR (Interact), Suralink, Concur Solutions, STAR (billing/timesheets/invoices), and CaseWare.
- Demonstrate ability to partner effectively with internal departments such as Accounting, Business Development, Marketing, KRU, and People Operations.
- Ability to manage multiple projects with competing priorities and deadlines.
- Strong organizational skills with a focus on accuracy and consistency.
- Excellent written and verbal communication skills.
- Professional judgment in handling confidential and sensitive information.
- Team-oriented mindset with flexibility to provide support across departments.
- Financial Services-specific experience
- 2-3 years of administrative experience
- Bilingual in Spanish
