As a Conference and Events Assistant II, you’ll play a key role in creating and maintaining welcoming, functional, and inspiring campus spaces for students, staff, and visitors. This dynamic position involves supporting the planning, design, and upkeep of Student Union common areas and event spaces, including setup and assistance for special events. You’ll oversee the logistics of grounds, equipment, furniture, and essential services, ensuring a clean, safe, and engaging environment. Duties & Responsibilities
- Assists with activities before, during and after conferences and events. Set up and tear down event spaces, including moving and arranging tables, chairs, stages and other equipment. Assist with the setting up of basic audio-visual equipment. Loading & unloading of event equipment from trucks, storage areas and transport to event spaces. Ensure event spaces are arranged according to client specifications.
- Clean events areas before and after each event to ensure spaces are tidy and ready for the next event or client tours. Ensure event spaces meet ADA and Fire Code compliance to maintain safety and accessibility standards. Identifies necessary repairs and reports to the appropriate department.
- Audits events are ensured they are executed according to client requests and event agenda. Keep storage areas organized and maintained. Assist with furniture, equipment and office moves. Delivers and retrieves routine inter-facilities mail, equipment, and furniture to various campus locations as needed.
- Follow all building and employee safety protocols, including proper placement and capacity of each room. Act as point of contact for on-site issues and address them promptly with minimal disruptions to events. Conducts periodic inspections and counts of equipment.
- Completes minor repairs on meeting services supplies such as tables, chairs stages, etc.
- Additional duties as assigned by department/leadership.
- Knowledge of basic computer skills.
- Ability to communicate effectively with staff, students, and clients.
- Ability to multi-task is essential.
- Working knowledge of Office Suite.
- Ability to learn programs for scheduling and set up i.e.: Caterease and Social Tables.
- Must be able to occasionally transport/move up to 50 lbs.
- Ability to operate dollies, carts and other equipment to move heavy objects safely and efficiently.
- High school diploma or high school diploma equivalency is required.
- Minimum of 3 years of relevant experience, or equivalent combination of education and work experience.
- Ability to drive according to the University
- At least 3 years of hands-on experience in event setup, including coordination and execution.
