
Office Operations Coordinator

- Greet visitors, answer phones, and direct inquiries professionally
- Manage incoming and outgoing mail and packages
- Schedule and coordinate meetings, prepare meeting materials, and take minutes as needed
- Arrange catering for internal meetings and events within the allocated budget
- Partner with HR on the onboarding of new staff members
- Support the Managing Director by acting as a liaison between the Wyoming office and Brea-based support teams (HR, IT, Facilities), ensuring clear communication, timely issue resolution, and alignment on office needs and initiatives
- Build strong relationships and collaborate closely with cross-functional partners in the California office to enhance communication, align priorities, and streamline shared processes
- Ensure understanding of and adherence to company-wide policies and procedures within the Wyoming office
- Assist with expense reporting for office-related costs
- Assist with special projects and events as required
- Maintain the overall condition and appearance of the office in compliance with company lease agreements and standards
- Maintain office organization, including filing systems and supply inventories
- Order and manage office supplies and equipment within the allocated budget
- Oversee building maintenance and repairs, including liaising with building management, service providers, and vendors
- Work with Brea support groups to ensure all maintenance- and repair-related items are properly invoiced and paid on time
- Collaborate with Brea HR and the Managing Director to plan, coordinate, and execute employee engagement events and activities that foster a positive and inclusive workplace culture, including team-building events, celebrations, and recognition programs
- Assist the Managing Director in coordinating with and supporting local community organizations and events
- High School Diploma or equivalent
- 3+ years of experience in an administrative or office support role
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong written and verbal communication skills
- Exceptional organizational skills and attention to detail
- Ability to multitask, prioritize effectively, and work independently in a fast-paced environment
- Demonstrated ability to take initiative and resolve issues independently
- Experience working collaboratively in team environments with a strong focus on achieving shared goals
