Our top-tier benefits and great retirement packages can help you build a rewarding career and lasting future with the State of Illinois.Position OverviewThe Office of Assistant Director of Family and Community Services. is seeking to hire a dynamic, organized, and detail-oriented administrative assistant to perform a variety of administrative functions, most of which are confidential in nature for the Assistant Director. This position handles special projects, assists in coordination and control of activities and materials, researches, compiles, and develops special reports; coordinates workflow to and from the Assistant Director’s office; reviews legal documents, contracts, plans for changes in organizational structure; monitors incoming mail, refers correspondence to proper staff for response and controls for due dates; develops, compiles and organizes information needed for the preparation of special operating requests from the Director’s office, assists in projecting future operating needs based on current and past utilization; acts as inventory control coordinator and back-up time keeper; travels in the performance of duties.Essential Functions
  • Serves as administrative support to the Assistant Director of Field Operations in the Division of Family and Community Services in the execution of efficient and effective operating policies, procedures, and protocols.
  • Performs confidential administrative functions for the Assistant Director.
  • Monitors incoming mail with the office.
  • Develops, compiles, and organizes information needed for the preparation of special operating requests from the Director’s Office.
  • Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
  • Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
  • Requires two (2) years of professional experience in a public or private organization.
Preferred Qualifications
  • Two (2) years of professional experience providing administrative support on a variety of assignments some of which are of a confidential or sensitive nature.
  • Two (2) years of professional experience performing confidential administrative functions such as reviewing and monitoring legal documents, contracts, plans for changes in organizational structure, program policy and procedural recommendations, management reports, hiring, personnel evaluations and other documents having an impact on operations.
  • Two (2) years of professional experience monitoring incoming mail which includes reviewing and reading mail to determine priority of response, nature, and sensitivity of subject.
  • Two (2) years of professional experience developing, compiling, and organizing information needed for the preparation of special operating requests for administrative leadership.
  • Two (2) years of professional experience assisting administrative leaders with organization of email inbox, electronic files, and proofing official documents for internal and external review.
  • Two (2) years of professional experience tracking status and/or completion of assignments across a bureau or division for a public or private organization.
Conditions of Employment
  • Requires the ability to work overtime and/or outside regular business hours.
  • Requires ability to travel in the performance of duties, with overnight stays as appropriate.
