
Rental & Logistics Coordinator

- Answer incoming phone calls for business, rental, and transportation.
- Maintain transportation and local rental emails while promptly responding.
- Manage & coordinate transportation schedule for drivers daily.
- Create contracts for new rentals and create jobs for local transportation.
- Create PO’s for vendors.
- Approve vendors invoices and check them against the PO’s that are created.
- Close out completed rentals, review inspections and compile invoices for damages.
- Communicate with customers on deliveries of material / rentals.
- Process bills of ladings and provide clear instructions to the team for handling each shipment.
- Coordinate logistics for inbound and outbound product shipments for jobs.
- Manage daily freight schedules via email for local and out-of-state deliveries.
- Responsible for daily invoicing of all logistics & rental transactions.
- Maintain reliable communication with vendors regarding scheduling changes.
- Create quotations for rentals, individual shipments, estimate prices, and schedule accordingly.
- Identify cost-saving opportunities and process improvements.
- Monitor logistics costs, including fuel, freight, and additional charges.
- Ensure adherence to all legal and statutory transportation requirements.
- Identify transactions requiring special handling.
- Communicate effectively with leadership and team members.
- Uphold data security and confidentiality.
- Observe and promote safe work practices.
- Perform additional tasks as assigned by management.
- High School Diploma or equivalent.
- Microsoft Excel, Word, Outlook, and Internet proficiency required.
- Minimum 2 years of relevant work experience.
- Knowledge of warehousing and distribution operations.
- Strong organizational skills with experience in Excel spreadsheets, managing emails, logistics knowledge, scheduling, locations, and route setting.
- Previous customer-facing and customer service experience required.
- Effective communicator with ability to work with different personalities.
- Ability to handle high volumes of email and phone communication.
- Ability to remain calm and rational in stressful, last-minute, and problematic situations.
- Capable of diffusing tense situations with clear and concise verbal communication.
- Self-starter with the ability to work both independently and as a team player.
- On-call availability as needed.
- Ability to follow company rules, requirements, and processes.
- Must be comfortable as a liaison between multiple departments and sourcing equipment for customers.
- Office environment with occasional exposure to industrial noise.
- Ability to stand and/or walk for extended periods.
- Frequent standing, sitting, and working on a computer.
- Ability to lift, grasp, and manipulate small objects.
- Must have clear vision and hearing with correction if needed.
