You will maintain a physical presence at each location weekly (within a 30-mile radius), attend at least two marketing and community outreach events per month, and ensure each site reflects the professionalism and care that define our brand.This is a hands-on leadership role combining operational management, financial oversight, performance coaching, facilities management, and marketing engagement.Key ResponsibilitiesOperations Leadership & Multi-Location OversightOversee day-to-day healthcare operations across all locationsConduct weekly on-site visits to ensure compliance, efficiency, and client readinessStandardize workflows for intake, scheduling, billing, and documentation complianceManage vendor relationships, facilities maintenance, and office upgradesPerformance Management & KPI TrackingDevelop, monitor, and track KPIs for supervisors and staffCoach supervisors to coach their teams for maximum performanceEnsure KPI dashboards for therapist productivity, client retention, care coordination, and billing accuracy are maintained and reviewedFinancial & Budget ManagementManage operational budgets, financial performance, and expense controlIdentify cost-saving opportunities without sacrificing qualityPrepare monthly and quarterly financial and operational reports for the CEOMarketing & Community EngagementAttend at least two marketing/networking events monthly to promote services and strengthen referral relationshipsCollaborate on local marketing strategies to drive client growthTechnology & Process OptimizationOversee EHR system (TherapyNotes preferred) and CRM platformsUtilize Google Workspace, Microsoft Outlook, Excel, Canva, and Google Sheets to manage operationsImplement process improvements and automation to reduce administrative burdenRequired QualificationsProven experience as an Operations Manager, Practice Administrator, or Healthcare Operations DirectorStrong background in financial management, budgeting, and expense oversightSkilled in KPI tracking, staff coaching, and performance improvementProficiency with Outlook, Google Docs, Google Sheets, Excel, CanvaFamiliarity with EHR systems (TherapyNotes preferred) and mental health billingExcellent organizational, problem-solving, and decision-making skillsAbility to travel to all office locations weeklyPreferred QualificationsExperience managing multi-location healthcare or behavioral health practicesKnowledge of marketing, community engagement, and referral developmentExpertise in workflow optimization and process automationWhat Success Looks LikeEach location operates efficiently without day-to-day owner oversightSupervisors are actively engaged in coaching their teams toward KPI goalsFinancial performance meets or exceeds targets within ±5% budget varianceMarketing efforts consistently increase brand awareness and client basePowered by JazzHR
