Our culture is rooted in servant leadership - when our people succeed, our clients and community succeed.📋 Position SummaryVander Hyde Mechanical is seeking a proactive and detail-oriented Commercial Project Assistant to provide dynamic administrative support to our commercial project management team.This role is essential in ensuring that projects run smoothly from bid acceptance through closeout. The ideal candidate is organized, adaptable, and able to balance multiple priorities across departments. You will manage documentation, track vendor invoicing against project POs, verify bid accuracy, and coordinate with vendors to ensure successful project delivery.🛠️ Key ResponsibilitiesAssist in overseeing MEP commercial projects from start to finish, including closeout and vendor invoicingPerform data entry and manage information across multiple systemsAssist Project Managers with field-related administrative tasks, including timecard verificationMaintain open communication with Project Managers and alert them to situations requiring attentionManage project resources, documentation, subcontractor compliance, and change ordersTrack Certificates of Insurance, bonds, and permits; manage expiration dates and closeout documentationPrepare and deliver closeout packages and O&M manualsCommunicate project status, risks, and updates to internal teams, subcontractors, and clientsAssist with invoicing and warranty requests✅ QualificationsHigh school diploma or equivalent required2–3+ years of project coordination or administrative experience (commercial construction experience preferred)Proficiency in Microsoft Office and project management software (Procore, Bluebeam, QuickBooks preferred)Strong organizational, problem-solving, and time-management skillsExcellent oral and written communication skills; ability to coordinate with teams, subcontractors, and clientsHigh attention to detail in documentation, reporting, and project tasksSelf-motivated and able to thrive in a fast-paced environmentFamiliarity with contracts, change orders, and compliance documentation in construction🎁 Benefits at Vander Hyde💵 Competitive Pay (based on experience)
