- Administrative Support: Manage calendars, schedule meetings, coordinate travel arrangements, and prepare expense reports.
- Communication Management: Draft, proofread, and manage correspondence; ensure timely responses to internal and external inquiries.
- Meeting Coordination: Support the Executive Director with agenda planning related to key leadership and staff meetings across the organization. Prepare agendas, take minutes, and follow up on action items for high-level meetings.
- Event Coordination: Support the Executive Director in planning and executing high profile internal and external events, including leadership retreats, boarding meetings, town halls, and ceremonial functions. Coordinate logistics such as venue selection, catering, AV setup, participant communications, and materials preparation.
- Project Assistance: Support the Executive Director in tracking strategic initiatives, preparing presentations, and managing updates to policies and procedures.
- Confidentiality: Handle sensitive information with the utmost discretion and professionalism.
- Stakeholder Engagement: Liaise with senior leaders, faculty, staff, and external partners on behalf of the Executive Director. Ensure professional and responsive communication with all stakeholders.
- Office Operations & Collaboration Tools: Maintain organized filing systems, manage supplies, and support general office functions. Utilize Microsoft Teams and SharePoint for communication, document management, and collaboration. Demonstrate openness to learning and adopting new organizational and collaboration tools, as needed.
- Service Orientation & Flexibility: Demonstrate a proactive, service-oriented approach in all interactions, with a commitment to supporting the needs of leadership and the broader organization. Willingly take on other duties as assigned to support the evolving needs of the Office of the President and executive leadership.
- Cross-Team Support: Provide back-up administrative support to other Executive Assistants supporting executive leadership during absences, peak periods, or special projects. Collaborate across the executive assistant team to ensure continuity of operations and shared best practices.
Two years of college-level coursework, technical business school, or equivalent required. Bachelor's degree preferred.Work Experience:
Three to five years of related experience required. At least two years of executive-level administrative support experience in healthcare, higher education, or nonprofit sectors preferred.Salary Range: Minimum 22.00/hour - Maximum 36.32/hour.
