- Maintains schedule or daily calendar for department managers; may make judgments regarding calendar priorities, re-scheduling and initiating communication and activities in order to ensure an efficient calendar of events.
- Schedules and coordinates meetings, conference calls and other events, supplies appropriate equipment/materials, and provides hospitality services as needed.
- Assists with travel arrangements and itinerary.
- Performs and coordinates basic office duties such as sorting and distributing mail, copying, filing, faxing, completing forms, ordering and maintaining equipment and supplies.
- Prepares and maintains a variety of memos, forms, letters, reports, and presentations. Proofreads copy for spelling and grammar mistakes, makes appropriate changes.
- Answers and screens telephone calls, takes messages.
- Provides support on projects as directed, which may include gathering, compiling and reporting of information relevant to the assignment. May track data.
- Establishes and maintains effective working relationships within the organization.
- Maintains departmental records and prepares special and recurring reports, following general directions.
- Answers questions relating to office operations and established policies and procedures.
- Prepares expense reports, provides budget status and pays invoices.
- Performs other duties as assigned.
- Vocational - Knowledge of secretarial, administrative and clerical procedures and systems such as word processing, managing files and records, transcription, designing forms, letter formats and other office procedures and terminology. Ability to obtain knowledge of GFS policies and procedures and department specific information.
- Communication - ability to listen actively, speak to convey information effectively, and communicate effectively in writing as appropriate for the needs for the audience. Knowledge of the structure and content English language including the meaning and spelling of words, rules of composition and grammar.
- Problem Solving - Solves routine problems of limited scope and complexity following established policies and procedures or according to the direction of the supervisor. Uses judgement in matters affecting supervisor’s calendar.
- Human Relations - Knowledge of principles and processes for providing customer and personal services; service orientation skill; social perceptiveness skill
- Self Management - self directed, time management and coordination skills, ability to recognize problems, use discretion and make sound judgements within defined parameters; ability to cope with stressful situations while maintaining a calm and professional demeanor.
- Knowledge of electronic calendar, spreadsheet, word processing, presentation, email, and internet software applications.
- Knowledge of common office machines such as copier, printer, multi-line phones, conference call equipment and software.
- High School Diploma (or equivalent) plus 2-4 years full-time office or secretarial experience
- Ability to communicate in Spanish preferred.
