Job Description:Our client is seeking for a Corporate Legal Assistant to join an in-house Legal Department in Philadelphia. This role offers a hybrid work schedule, and is instrumental in supporting the company's legal operations and corporate daily matters.Legal Candidates with in-house experience should reach out directly to Kevin Ross w/ Robert Half in Philadelphia for immediate consideration.Responsibilities:
  • Provide comprehensive administrative support to the Legal Department, including managing schedules, preparing correspondence, and organizing documents.
  • Assist in drafting, proofreading, and editing a variety of legal documents, such as contracts, corporate filings, and memoranda.
  • Maintain and update corporate records, entity databases, and board materials to ensure accurate and organized documentation.
  • Manage legal files in both physical and digital formats, adhering to established protocols and compliance standards.
  • Monitor critical deadlines, including contract renewals and regulatory filing dates, ensuring timely follow-ups.
  • Coordinate document execution processes, including notarizations and filings, for legal and business entities.
  • Serve as a point of contact between the Legal Department and other internal teams or external legal counsel.
  • Conduct basic legal research and support special projects as directed by in-house counsel.
  • Facilitate corporate governance activities by assisting with board meeting preparations and related tasks.
Requirements:
  • Minimum of 3-5 years of experience as a legal assistant or in a legal administrative role, preferably within a corporate or in-house legal environment.
  • Familiarity with legal terminology, corporate governance, and contract processes.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with document management systems is advantageous.
  • Strong organizational and time management skills, with a meticulous approach to detail.
  • Ability to handle sensitive and confidential information with professionalism and discretion.
  • Excellent communication skills, both written and verbal, to effectively interact with various stakeholders.
  • An associate's or bachelor's degree is preferred; a paralegal certification is a plus.
