- Assist with the hiring process for new employees, which includes confirming offer details, preparing offer letters and employment agreements, and initiating candidate background checks.
- Ensure new hire technical set-up, review new hire paperwork for accuracy/completion and confirm employment eligibility using E-Verify; assist with other on-boarding activities as needed.
- Assist in coordinating the employee off-boarding process, such sending as last day e-mail instructions and submitting notifications of separation to IT.
- Review and route HR and payroll service tickets submitted through the internal ticketing system (ISM) to the appropriate team member for timely resolution.
- Provide backup support for maintenance of employee personnel files.
- May assist with a variety of administrative tasks in support of other functional areas of HR, as needed.
- Provide backup support for various HR functions as needed to ensure continuity of service.
- Set new hires up in HRIS, the time entry program, and third-party benefit sites.
- Assist the Payroll Specialist with calculating final checks, including wage and tax adjustments, for separating employees in compliance with applicable laws.
- Assist with maintaining accurate employee records in HRIS and other systems, including updates related to stipends, job changes, and other employment-related data.
- Generate regular and ad hoc payroll reports, as needed.
- Respond to employee inquiries regarding payroll and/or HR with a focus on accuracy and service.
- Follow-up on returned mail to ensure accurate addresses are on record.
- Assist with various payroll and HR duties and projects as assigned.
- Excellent verbal and written communication skills.
- Perform work accurately with strong attention to detail.
- Ability to meet frequent strict deadlines and have a strong sense of urgency.
- Strong organizational skills.
- Ability to maintain strict confidentiality of sensitive work-related information.
- Strong computer skills, including solid skill in the Microsoft Office suite (particularly Excel) and familiarity with a variety of HR software programs (Paychex Flex, Taleo, Workday, and Flock preferred).
- Availability to work evenings and weekends based on position needs. Required work on a weekend is rare and would primarily apply only in situations when there are tight turnarounds on payroll deadlines.
