Requirements:General Description:The Administrative Specialist II provides excellent customer service to visitors and callers to the Division of Transportation's office, while also performing accounting work of moderate complexity such as invoice processing and other accounting functions. Potential to work from home 1 day per week after ETP completion.Essential Job Functions:
  • Greets visitors and callers, handles their inquiries, and directs them to the appropriate people according to their needs.
  • Receive and route incoming/outgoing mail and packages.
  • Prepare for Transportation Committee meetings and transcribe regular and executive session meeting minutes.
  • Assist with supply ordering, business cards, coffee supplies and paper replenishment.
  • Prepare, record, and route contracts for execution.
  • Assist Construction Section with document preparation for bid lettings and bid openings.
  • Log work order requests as they are submitted to the department.
  • Process MCDOT invoices and requisitions - Administration, IT and Planning
MATERIAL AND EQUIPMENT USED:
  • Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Microsoft Dynamics 365
  • e-Scribe Agenda Management Software
MINIMUM QUALIFICATIONS REQUIRED:Education and Experience:
  • High School Diploma or GED
  • Three years of customer service experience in an office environment.
  • One to three years of accounting experience
  • Computerized Accounts Payable and Accounts Receivable experience preferred
KNOWLEDGE, SKILLS AND ABILITIES:KNOWLEDGE:
  • State, federal and local laws, rules and regulations governing county operations.
  • Standard business arithmetic and statistical computations, including percentages, ratios, and decimals.
  • Administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
Skill in:
  • Communicating effectively, both orally and in writing, with the public.
  • Using tact, discretion, initiative and independent judgment within established guidelines.
  • Organizing work, setting priorities, meeting critical deadlines, and following up on assignments with a minimum of direction.
  • Operating general office equipment such as copiers, facsimile machines, and telephone systems.
  • Preparing moderately complex documents.
  • Accurately proofreading with accompanying knowledge of grammar, punctuation and spelling.
  • Performing routine mathematical computations such as multiplication, division, decimals, and percentages.
  • Performing data entry using word processing, spreadsheet or database commands and formatting material as required.
