
Transportation Project Coordinator

- Develop and maintain opportunities list for Transportation Clients including TxDOT, RMAs, Cities and Counties across Texas.
- Track, update and report on opportunities within Quiddity’s ERP systems.
- Develop a thorough understanding of TxDOT’s precertification process.
- Maintain the current database of precertifications across the Transportation team and work with technical staff to obtain precertifications from TxDOT.
- Lead the coordination of Statements of Qualifications (SOQs), resumes, and project experience packages for proposals.
- Maintain internal databases of staff resumes, project profiles, and templates for marketing and proposal use.
- Collaborate with marketing and technical staff to ensure high-quality, compliant submittals.
- Support the full project lifecycle, including setup, execution, reporting, and closeout, across multiple active projects.
- Monitor and track project budgets, forecasts, schedules and performance metrics using Quiddity’s ERP systems.
- Identify cost or schedule variances, and recommend corrective actions.
- Maintain accurate and up-to-date project records across platforms including Microsoft CRM Dynamics, and SharePoint.
- Coordinate with project accounting and A/R teams on invoicing, billing milestones, and revenue recognition.
- Lead internal project documentation reviews to ensure compliance with company standards and client expectations.
- Manage change order documentation and support contract amendments in alignment with project scope.
- Serve as a key liaison between project teams, administrative staff, and clients to ensure seamless communication and coordination.
- Support onboarding and mentorship of junior administrative staff or new project team members on tools and procedures.
- Bachelor’s degree in Business Administration, Accounting, Project Management, or a related field (required).
- 5+ years of experience in project coordination, controls, or administration in a professional services environment (engineering, construction, architecture, or similar).
- Demonstrated experience supporting multiple complex projects simultaneously with minimal supervision.
- Strong proficiency in Microsoft Office 365 (especially Excel, Word, Outlook, SharePoint) and Power BI.
- Advanced knowledge of Microsoft CRM Dynamics (or similar ERP systems), and data reporting tools.
- Experience with Bluebeam, Adobe Acrobat, and project collaboration tools like MS Teams or Newforma.
- Strong attention to detail with excellent grammar, formatting, and document control skills.
- Familiarity with project scheduling tools (e.g., MS Project) and industry software (e.g., Bentley ProjectWise) is a plus.
- Strong organizational and analytical skills with a proactive, problem-solving mindset.
- Excellent verbal and written communication skills; able to interact confidently with both technical and non-technical stakeholders.
- Ability to manage competing priorities and meet deadlines in a fast-paced environment.
