Working under the supervision of VP of Operations, the Executive Administrative Assistant for Operations provides administrative support to the Operations Department. Duties include calendar and travel management, preparing correspondence, meeting support, processing department invoices, filing, and other administrative tasks to meet the needs of the Operations Department in Road Ranger’s Store Support Center. All other duties as assigned.Essential Duties & Responsibilities:
- Provide executive support to the Operations Team including calendar management, travel arrangements, expense reports, and general administrative tasks
- Process invoices, payments, and support budget management, including reconciliation
- Manage and prioritize scheduling, resolving conflicts, and organizing meeting and event logistics (location, audio/video, meals, etc.)
- Prepare and refine meeting materials, including drafting, editing, and tracking documents
- Manage daily meetings/events, ensure activities run smoothly, and adapt to last-minute changes as needed
- Coordinate briefings and prepare meeting materials for internal and external events and provide thorough preparation for executives
- Assist in daily operations management, goal setting, and policy development, exercising discretion and prioritization of tasks
- Prepare documents and items for signature as needed
- Initiate and manage correspondence, triage emails and calls, resolve inquiries, and liaise for the VP of Operations
- Prepare special reports and summaries, assist in managing daily operation of the office, and may assist in developing administrative goals and policies
- Stay informed of activities relating to Operations’ programs and initiatives, apprising the leader of issues when deemed necessary
- Coordinate information flow from VP of Operations’ office
- Administer the Company's employee recognition, engagement, and uniform programs
- Serve as back-up to office reception and customer service phone line
- Other departmental duties as assigned

- Excellent written and oral communication skills with the ability to communicate professionally and effectively in person, on the phone, or electronically
- Strong interpersonal skills with the ability to build and maintain internal and external relationships
- Strong organizational skills and attention to detail, with the ability to work under pressure prioritize and handle multiple competing tasks and demands simultaneously
- Ability to maintain strict levels of confidentiality
- Exhibits polite and professional communication via phone, email and mail
- Good judgment with the ability to make timely and sound decisions under pressure
- Ability to work independently as well as collaboratively with other staff members to accomplish the goals and objectives of the organization
- Ability to travel for Company business; valid driver's license
- High school degree or equivalent. Bachelor’s degree preferred.
- 3+ years of administrative or clerical experience. Executive experience preferred.
- Proficient in Microsoft Office products
- Extremely organized with strong time-management skills
- Ability to maintain confidentiality when dealing with sensitive information
