- Financial & Accounting Duties
- Process HOA fee payments, record transactions in QuickBooks and bank systems
- Manage bi-weekly payroll for office and maintenance staff
- Prepare monthly accounting reports and financial statements for the Treasurer and Finance Committee
- Pay invoices via electronic bill-pay or checks requiring Board signatures
- Assist with budget preparation, financial reporting, and fund transfers
- Administrative Support
- Process incoming and in-house mail, invoices, receipts, and Board correspondence
- Answer phones and assist homeowners and Board members with questions
- Maintain homeowner files, contact lists, and Board communications
- Prepare reports, copies, and financial documentation for Board and committee meetings
- Manage quarterly tax and workers’ compensation reports
- Assist with real estate transactions, sales kits, deposits, and transfer fees
- General Office Duties
- Maintain office supplies and copier needs
- Record and deposit laundry service funds and personal copy fees
- Support Board members with clerical and organizational tasks
- Previous office administration and bookkeeping experience (QuickBooks required)
- Strong organizational and time-management skills with attention to detail
- Comfortable handling financial transactions and confidential information
- Effective communication skills with homeowners, Board members, and vendors
- Ability to work independently and manage multiple tasks efficiently
