Administrative AssociateReports to: Director of Practice Management
Status: ExemptApollon Wealth Management is looking for a driven Administrative Associate to become a valuable member of our team. Our ideal candidate will play a crucial role in maintaining smooth day-to-day operations within the organization.
Responsibilities:
  • Coordinate and schedule meetings, video conferences, calls, and important events with prospects, existing clients, COIs, and internal stakeholders.
  • Act as the primary point of contact for clients, managing their inquiries and directing them to the appropriate resources within Apollon. Schedule onboarding planning meetings with the planning department and paramedical exams.
  • Oversee the client review meeting schedule and facilitate necessary arrangements.
  • Manage travel arrangements and reservations.
  • Maintain and update client and prospect data in Practifi. Collect and manage data from clients and prospects, ensuring accuracy and completeness.
  • Generate and maintain tracking reports for new business data.
  • Handle invoices and expense reporting efficiently.
  • Handle mailing correspondence and packages promptly.
  • Organize and maintain Zocks meeting data.
  • Streamline email communication, including decluttering inboxes, responding to messages, and drafting autoresponder content.
  • Schedule and manage posts of Apollon content and facilitate new connections.
Minimum Qualifications:
  • Minimum of three years of experience as an Administrative Associate.
  • Bachelors degree.
  • Proficiency in Microsoft Office (Outlook, PowerPoint, Word, and Excel), Salesforce, Docusign, and Calendly.
  • Extremely detail-oriented with the ability to work at a fast pace. Excellent phone etiquette. Strong cultural fit within the organization.
  • Preferred prior experience in Wealth Management, but not required.
