KIPP (Knowledge Is Power Program) began in 1994 with 47 fifth-graders as a college-preparatory program housed within a public middle school in Houston, Texas; today, we are a network of 280 schools, 15,000 educators, and 175,000 students and alumni. All KIPP public charter schools are locally-run, non-profit organizations; each region is governed by a board of directors.Job DescriptionThe Regional Operations & HR Manager is charged with ensuring smooth day-to-day operations of the KIPP Baltimore Region. Through the management of Human Resources, AR/AP, regional operations support, and administrative support to the Executive Director, Chief Academic Officer, and Chief of Staff, the Regional Operations & HR Manager plays a critical role in supporting school teams and regional leaders to execute on the mission and vision of KIPP Baltimore. The Regional Operations & HR Manager reports to the Chief of Staff.KEY RESPONSIBILITIES:Regional Operations & HR Manager responsibilities include, but are not limited to:Human Resources/Payroll:Enter, manage and maintain accurate and up to date employee information and database with fidelity.Review employee time punch edits to ensure accuracy and consistencyRun bi-weekly payroll for KIPP Baltimore operator employees. Accurately execute payroll processes for Baltimore City Public School employees consistent with BCPSS policies and procedures.Provide assistance with problem troubleshooting and resolves employee pay discrepanciesManage benefits for all KIPP Baltimore operator employees. Serve as point of contact with benefits providers, lead education opportunities on benefits offerings, manage annual open enrollment process, trouble-shoot benefits related questions for staff.Coordinate the onboarding process for all KIPP Baltimore employees as part of our Regional Operations Team.Generate in-house referrals through original and innovative referral programs.Manage other day to day HR operations (onboarding, employee relations, compliance, outplacement counseling, exit interviews, etc.)Provide advice and guidance to senior leaders on employee issues.Serves as the primary liaison with Baltimore City Schools, which employs the instructional staff assigned to KIPP Baltimore schools, for HR related matters, particularly the Office of Human Capital, including managing the following:Address human capital questions from KIPP Baltimore leadership and staff regarding benefits and compensation.Keep abreast of changes in City Schools' policies, procedures, and negotiated agreements.Provide advice and training to KIPP Baltimore leadership on full employment life cycle.Finance:Accounts Receivable:Responsible for full cycle Accounts Receivable function including managing A/R Inbox, desktop deposits, cash collections, posting of cash and sending invoices and statementsReceive, research and resolve a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate personsAccounts Payable:Manage the A/P system (Anybill) to ensure that all invoices receive timely approvals, GL accounting coding on invoices is accurate, and invoices are paid in a timely manner.Mail/Distribute signed checks including assembling check payment advice to invoicesAssists with reconciling vendor statements, including asking vendors for missing invoices.Assists with the credit card process including gathering all receipts from cardholders timely to meet the month-end credit card journal entry deadline.Manage the employee expense report system to ensure receipts are attached and approvals received in a timely manner to meet month-end closeMaintains financial records in accordance with document retention policies and proceduresInsurance:Manage all regional and school based insurance needs; ensure appropriate levels of liability and additional coveragesLiaise with insurance company and maintain files for any claim affecting KIPP Baltimore's insuranceRequest, send and maintain copies of Certificates of Insurance for partnerships and contracts as neededAdministrative SupportSupports the Executive Director, Chief Academic Officer and Chief of Staff as follows:Manages calendars, organizes internal and external meeting logistics, and coordinates travel.Supports executive communications and correspondence (e.g., staff newsletters)Supports the administration of the Board of Directors including logistical support of meetings, management of the board calendar and communications, maintenance of board documents, and the preparation of meeting materials.Supports compliance with federal and state grants received by KIPP Baltimore through BCPS (e.g., Title I, II, IV and federal and state COVID relief grants), including writing plans to implement required grant programming, tracking data in support of grant reporting requirements and supporting the preparation of required evaluation reports.Supports compliance with Baltimore City Public Schools charter school operator requirements (e.g., the submission of budgets, officer's certificates, financial statements, etc.)Coordinates logistics for organization-wide events (e.g. annual holiday party, staff appreciation week, staff school year kick off)Manages office operations.Serve as a backup to the Director of Campus Operations in support of facilities and technology support/managementPerforms other duties as assigned.Serve as a full-time and engaged member of KIPP Baltimore's staff.Proactively identify areas for improved efficiency and propose solutions.Thoughtfully manage large projects (such as the office move) that require coordination and delegation across multiple colleagues.Prepare reports, presentations, and documents as requested for SST team and leadership teams.Coordinate staff meals, room setup, and other needs during professional development days, retreats, meetings, trainings, and other events.Qualifications
  • A passion for the mission of KIPP Baltimore.
A Bachelor's degree required.Knowledge of and experience with an HRIS (Human Resources Information System) preferred.Experience running payroll preferred.At least five years of office and/or operations experience. School operations experience preferred.Strong project management skills, including managing projects with many components.Outstanding organizational skills. Detail orientation is a must.Demonstrated ability to work in a fast-paced, high energy environment with a proven ability to juggle multiple deadlines and tasks.Excellent communication skills, both oral and written.Communicates well with others and demonstrates strong interpersonal skills with students, parents, colleagues, and community members.
