
Administration Coordinator

- Provide timely processing of various types of correspondence, including emails, packages, and mail.
- Assist with various administrative tasks, including document preparation, data entry, and basic accounting tasks.
- Help coordinate meetings/trainings, arrange conference rooms, and support executives and team members as needed.
- Handle sensitive information and documents with the utmost confidentiality and discretion.
- Act as a Garney brand ambassador, providing excellent customer service to visiting clients and guests as well as internal employees.
- Assist with inquiries, offer hospitality services (tours, water, coffee) for guests, and provide accurate information about our office and construction projects.
- Answer incoming calls and direct them to the appropriate individuals promptly.
- In some cases, manage office vendor relationships and contracts, such as janitorial. Manage regional license renewals
- Actively identify and address operational challenges, taking initiative to find solutions and improve office processes to optimize efficiency.
- Maintain a clean, organized office environment by managing supply inventory, performing light housekeeping, ensuring equipment functionality, communicating key information to staff, and providing hospitality and accurate information to guests.
- High school diploma or equivalent qualification.
- Proven experience (3-5 years minimum) as a receptionist, administrative assistant, or in a related role.
- Notary Public or willingness to obtain within 3 months of hire
