Job Description - Operations Specialist (Dispatcher)Job Title: Dispatcher Department: Operations Reports To: Operations Manager Location: VA Division Employment Type: Part Time Salary: $Job PurposeThe Operations Specialist (Dispatcher) is responsible for coordinating and dispatching operators to ensure safe, efficient, and on-time transportation services. This role oversees daily routes, provides direction and communication to operators, and makes real-time decisions to optimize performance. The Operations Specialist also monitors system performance, resolves service disruptions, and handles customer concerns while maintaining compliance with company policies and contract requirements.Key Responsibilities & Accountabilities
  • Assign operators, vehicles, and equipment, maintaining accurate logs and records.
  • Monitor routes and trip status, making adjustments to ensure on-time performance and minimize service disruptions.
  • Maintain continuous two-way communication with operators, providing updates on schedules, cancellations, and customer needs.
  • Respond to emergencies, vehicle malfunctions, and schedule changes, coordinating with operations, safety, and maintenance teams.
  • Schedule and assign will-call and same-day trips to appropriate vehicles, balancing efficiency and customer satisfaction.
  • Ensure accurate data entry in dispatch software (Routing Box, VET Ride, Solutions for Transit) and reconcile trip manifests and fares.
  • Review pre- and post-trip inspections, addressing safety concerns with maintenance staff.
  • Track operator attendance, driver hours, and compliance with DOT and company requirements.
  • Assist passengers with trip inquiries and ensure customer service standards are met.
  • Maintain professional communication with operators, supervisors, and client agencies.
  • Support scheduling team as needed and fill in for Scheduler when required.
  • Document all incidents, schedule adjustments, and daily service activities.
  • Ensure spare vehicles are effectively used to support preventive maintenance and service continuity.
  • Perform facility opening/closing duties based on assigned shift.
  • Maintain a professional appearance, safe work practices, and adherence to attendance policies.
  • Other duties as assigned.
Critical Results
  • Consistent achievement of contract on-time performance requirements.
  • Minimal customer complaints related to dispatch or scheduling.
  • Accurate documentation of attendance, schedules, service disruptions, and vehicle status.
  • Fair and policy-compliant scheduling and shift adjustments.
  • Effective use of dispatch software to optimize cost, productivity, and customer service.
Job RequirementsEducation
  • High School Diploma or equivalent required.
Experience
  • Prior experience in dispatch, transportation operations, customer service, or supervision preferred.
  • Must be at least 21 years of age.
  • Valid driver's license and ability to obtain/maintain DOT physical required.
Knowledge, Skills & Abilities
  • Strong customer service and communication skills.
  • Proficient with Microsoft Office and windows-based applications.
  • Experience with Routing Box, VET Ride, or similar dispatch software preferred.
  • Knowledge of local service area.
  • Ability to multitask in a fast-paced environment.
  • Ability to work independently, make decisions under pressure, and adapt to changing circumstances.
  • Supervisory and coaching skills to provide direction and feedback to operators.
  • Bilingual (English/Spanish) may be required depending on contract.
Working Conditions
  • Primarily office-based in a fast-paced operations environment.
  • Requires extended periods of sitting, phone, and computer use.
  • On-call availability may be required.
  • Occasional vehicle inspections and field checks for safety compliance.
