- Provides administrative assistance to Administrator of Facilities and supports all leaders reporting to the Administrator.
- Answers the facilities front desk phone and helps coordinate and communicate requests for work which include dispatching technicians to the job site.
- Coordinates all aspects of vendor visits, including check-in and check-out and receiving work completion reports.
- Tracks, codes, and submits invoices from day to day operating costs, including vendor and material invoices, service agreements, and small facilities projects.
- Manages the work order system and other data, hardware/software systems related to the department’s operation, including user management, running work order reports, and dispatching work orders to teams.
- Assists technicians with coordination of repairs and preventative maintenance schedule and documentation.
- Manages documentation related to regulatory compliance, ensuring appropriate documentation is completed and tracked/filed.
- Assists Administrator with schedule management, purchase order requests, vendor coordination, and tracking quotes.
- Takes minutes and participates in meetings as needed.
- Assists in training, orientation, and scheduling of Facilities employees, including maintaining the facilities schedule with direction from Facilities Manager.
- Submits ideas on continuous quality improvement to help maintain facilities daily operations and participates in departmental LEAN efforts.
- Proficient with MS Office, Outlook, Excel and Internet Explorer

- Ability to learn computerized maintenance management systems
- High school diploma (or Equivalent Certificate form an accredited program)
- Valid USA driver’s license
- Must have clean driving record that follows Cheyenne Regional Medical Center’s driving guidelines
- Associate’s degree or higher
