1.Bachelor’s degree in related field preferred. High school diploma or GED and training and/or experience as a secretary required.
2.Proficiency with software data management, databases, and word processing.
3.Excellent written and verbal communication skills.
4.Strong interpersonal skills and work ethic.
5.Strong organizational skills.
6.Experience with or understanding the importance of confidentiality within the workings of a large complex organization.REPORTS TO: Principal or designeeJOB GOALS: To provide leadership, organizational support, and clerical assistance in the school office.PERFORMANCE RESPONSIBILITIES:
1.Provides secretarial support for principal and other designated staff.
2.Provides a welcoming atmosphere, information and direction for visitors, students and staff.
3.Prepares and updates building website, informational publications and announcements. * Creates, manages and updates student information records and announcements.
  • Develops and maintains student information in multiple software programs.
  • Coordinates scheduling for parent teacher conferences.
  • Coordinates kindergarten registration, student assessments and before/after programs.
  • Assists with coordinating State and district testing.
  • Designs and generates computer reports.
  • Provides technical support to staff and families.
  • Enforces building security and communicates building emergency and evacuation protocol.
  • Assists in processing accident reports for all staff.
  • Assists health office and refers first aid situations.
  • Maintains the budget, facilitates payments and expedites orders.
  • Collects fees and processes bank deposits.
  • Processes absence reports and time cards for certified and non-certified staff.
  • Reconciles absences with sub and employee management systems.
  • Coordinates the placement of building substitutes.
  • Maintains and informs custodial staff of calendar for building and equipment usage.
  • Oversees that the secretarial staff completes assigned tasks and duties necessary to meet the overall building needs determined by the principal.
  • Performs other duties and responsibilities as assigned.
TERMS OF EMPLOYMENT: As per the administrative assistant’s collective bargaining agreement.
