- Analyze contract requirements, special provisions, terms, and conditions to ensure compliance with applicable laws, regulations, corporate policies, and business unit procedures.
- Maintain a strong understanding of contract policies and practices in day-to-day operations.
- Ensure timely review, approval, and execution of contracts in alignment with corporate and business unit guidelines.
- Prepare and administer routine correspondence, negotiation memoranda, and contract documentation.
- Perform contract setup, administration, and closeout activities, including data entry and paperwork management.
- Assist in the contract change control process, coordinating with Accounting, Operations, Legal, and other departments as needed.
- Administer and manage subcontract awards, vendor/supplier agreements, and modifications.
- Conduct research to support contract audits and facilitate business unit contracting trends.
- Develop a basic understanding of relevant laws, regulations, and contract concepts, applying this knowledge to contract administration and management tasks.
- Mentor and train less experienced professionals in contract administration practices and procedures.
- Support team members by taking on additional responsibilities as needed.
- Perform all duties related to pre- and post-award contract administration, including correspondence, documentation, evaluation, and compliance reporting for government contracts.
- Coordinate with the Project Manager to administer, invoice, and close out contracts effectively.
- Oversee and process subcontractor invoices, ensuring accuracy and compliance with contractual requirements.
- Prepare, manage, and report monthly subcontractor accruals.
- Coordinate and complete subcontractor closeout packages according to regulations and contractual requirements.
- Prepare and submit invoices, ensuring accuracy and timeliness.
- Manage and report on contract-related financial activities, providing insights and updates as needed.
- Audit time sheets
- Keep up with PTO requests
- Maintain employee listings
- Forward all Payroll Forms to Human Resources (Direct Deposit, W4, A4, etc.)
- Proven experience in contract administration, particularly in government contracting.
- Strong understanding of contract law, regulations, and compliance requirements.
- Excellent organizational, communication, and negotiation skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Proficiency in contract management software and Microsoft Office Suite.
- This position may require occasional travel and flexibility in working hours to meet project deadlines.
