Overview:The Executive Assistant for the Health Plan performs confidential, complex, and high-level operational and administrative functions necessary for the effective operations of the Health Plan. This includes the ability to provide leadership and hands-on support in all Health Plan business areas, with specific focus on executive leadership, the Board of Directors, and member facing resources. This position is integral in supporting and promoting the Health Plan's strategic objectives and key results.What You Can Expect:· High-level support for executive leadership that includes calendar management and meeting preparation· Confidential handling of sensitive information· Support across the Health Plan business areas as needed· Event planningDuties/Responsibilities:· Provides comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, coordinating travel arrangements, and handling correspondence. Prepares and edits documents, presentations, reports, and other materials as requested by executives.· Serves as a liaison between executives and internal/external stakeholders, effectively communicating and representing the executives' interests and positions. Applies professional judgement in prioritizing the most sensitive matters and makes decisions in a timely manner on behalf of the senior leadership team.· Responsible for scheduling and organizing all Health Plan Board and Committee communications, agendas, meeting materials, and minutes. Handles highly confidential and sensitive information with the utmost discretion and maintains confidentiality in all matters related to the Board of Directors.· Works with Health Plan leadership to establish long term goals and plans. Follows up with actionable policies and procedures to help the team achieve these goals.· Facilitates the onboarding and training of new staff, ensuring they are equipped with the necessary tools and knowledge to perform their duties. Works with COEs on development of ongoing trainings (lunch and learns).· Supervises and manages office operations, ensuring effective utilization of resources and adherence to organizational policies and procedures. Develops and implements efficient administrative systems, procedures, and workflows to enhance productivity and streamline processes. Oversees emergency operating procedures, maintenance of office equipment, supplies, facility security, as well as coordinating with relevant vendors and service providers.· Fosters a positive and collaborative work environment, promoting teamwork, effective communication, and cross-functional cooperation.· Handles complex issues and problems. Refers only the most complex issues to executive staff.
