- A bachelor's degree is preferred; may substitute years of experience.
- 2-3 years' experience in event planning and scheduling, particularly on a college campus.
- Three years' office experience is required; experience working in higher education is preferred.
- Financial recordkeeping experience and administrative support staff experience required.
- Must be well-organized, flexible, attentive to detail, and enjoy the administrative challenges of working with several programs.
- An ability to exercise important human relations skills in establishing and maintaining effective working relations with the college community and build positive relationships with internal and external customers with a high level of professionalism and confidentiality.
- Strong analytical skills are necessary.
- Strong computer skills in word processing, spreadsheets, internet, email, and scheduling software.
- Knowledge of general office practices and procedures, as well as English grammar, punctuation, and correspondence forms.
- Problems are varied, requiring analysis or interpretation. Solved using experience, knowledge, and skills.
- Oversee the scheduling programs, including:
- Administer scheduling software, including confirmations and invoicing.
- Identify the client's needs and expectations for each event.
- Manage all event set-ups, teardowns, and follow-up processes.
- Conduct final inspections on the day of the event to ensure everything adheres to the client's requirements.
- Recruit, interview, train, and manage employees.
- Work closely with supervisor to improve marketability and profitability of events and facilities.
- Develop effective professional working relationships with offices and divisions across campus
- Complete any other special assignments and projects as directed by supervisor
- Provides exceptional customer service to faculty, staff, students, and guests via telephone, email, and other correspondence.
- Other duties as assigned.
- Directs all aspects of summer youth conferences and athletic sports camps:
- Directs and supervises all logistical aspects relating to “For the Strength of Youth” summer conferences.
- Administers operational budget, including expenditures, receivables, payroll, and reports.
- Interview, hire, supervise, and manage the payroll of FSY Hosts and a part-time staff, and follow best labor practices and Snow College employment policies.
- Negotiate dates, itineraries, and fees for client contacts.
- Creates and manages administrative processes for taking reservations, collecting rental fees, check-in/check-out procedures, emergency management, and internal & external customer relationships.
- Occasionally work long days, late nights, and weekends (as event schedule requires).
- Work progress monitored by supervisor; the employee follows the precedents and procedures of Snow College
Office/Indoor Environment: Requires standing, sitting, repetitive hand motion (typing, etc.), hearing/listening, talking in person and on the phone.
