What You'll Do:As the Project Administrator, you will coordinate and provide administrative, logistical, and process-related tasks to support project execution and departmental operations to meet business and customer needs.Your Accountabilities in the Role:
  • Provide project administration support, ensuring smooth coordination and documentation to keep engineering efforts running efficiently.
  • Monitor project timelines and tracks hours, helping teams to stay on schedule and within budget, to improve overall project cost control.
  • Handle material quotes for the department, streamlining procurement and ensuring timely availability of critical components.
  • Organize and coordinate sample logistics, ensuring samples are accurately prepared and shipped to the correct destinations to meet testing and customer deadlines.
  • Plan, manage and attend (when possible) trade shows to ensure everything is coordinated and set up in a way that will maximize brand visibility and maintain a professional presence at events.
  • Manage agreements and workflow processes, ensuring timely execution and consistency across internal and external project stakeholders.
  • Schedule and facilitate team and client meetings, enhancing communication and keeping all parties aligned on project milestones.
  • Oversee change management processes, ensuring that updates are tracked, documented, and implemented effectively to support project continuity and compliance.
Position Requirements:
  • Education: Bachelors Degree in Business Administration, Engineering or similar related field preferred; or an equivalent combination of education and experience will be considered.
  • Experience: 3+ years of project administration experience.
  • Functional Skills: Detail-oriented with strong project coordination and organizational skills; experienced in tracking timelines, deliverables, and budgets to ensure successful project execution; adept at managing documentation, meeting logistics, and administrative workflows; skilled in vendor coordination and procurement processes, including obtaining quotes and tracking material orders.
  • Technology Skills: Strong aptitude with computers. Experience in Microsoft Office applications including Outlook, Word, and Excel. Experience keeping projects managed in a Customer Relationship Management (CRM) tool preferred. Experience in Microsoft Project is a plus.
  • Communication Skills:Excellent written & verbal communication skills, ability to present to internal team members and customers required.

Other Important Information:Pay/Salary: Salary based on proven expertise.

Reports To: VP of Research, Development + EngineeringCore Hours: 8:00 am – 5:00 pm (includes a 1 hr. lunch; will work approx. 8 – 9 hours within this timeframe)Typical Work Week: M-F; occasional weekend work where required; 40-45 hours a week on averageDirect Reports: NoneTravel: Limited; Less than 10%Work Environment: Standard office environment
