SUMMARYThe Environmental Administrative Assistant reports to the Environmental Director and provides administrative support to environmental programs, projects, and personnel. This role supports environmental compliance, project tracking, recordkeeping, internal coordination, and communication. The ideal candidate is detail-oriented, well-organized, and experienced in providing administrative support within an environmental or technical setting.DUTIESAlthough other duties may be assigned, the essential duties include the following:
  • Provide administrative and clerical support to the environmental team, including. scheduling meetings, maintaining calendars, and preparing agendas and minutes.
  • Assist in the draft, edit, and format of technical and non-technical documents, reports, and correspondence.
  • Maintain accurate filing systems for documents, reports, regulatory compliance records, and environmental data.
  • Support data entry, tracking, and management of environmental monitoring and project-related databases
  • Lead the coordination of public outreach, meetings, and community events related to environmental initiatives.
  • Support grant tracking, procurement, and budgeting tasks by maintaining spreadsheets and assisting with reporting deadlines.
  • Communicate professionally with internal departments, external agencies, and community members.
  • Order and maintain office supplies and coordinate with vendors for service-related needs.
  • Perform other duties as assigned
MINIMUM QUALIFICATIONSAbility to:
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with databases or document management systems is a plus.
  • Strong organizational skills and attention to detail.
  • Ability to handle confidential information with discretion.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks and prioritize effectively in a team environment.
  • Familiarity with environmental terminology, permitting processes, or regulatory documentation is desirable
Training and Experience:
  • High school diploma or GED required, associate degree or coursework in environmental studies, office administration, or related field preferred.
  • Minimum of 2 years of administrative experience, preferably in an environmental, regulatory, or technical setting.
  • Experience working with tribal governments, local/state/federal agencies, or environmental organizations is a plus.
Licenses; Certificates; Special Requirements
  • A valid California driver’s license and the ability to maintain insurability under the Tribes Vehicle Insurance Policy.

PHYSICAL DEMANDSWhile performing the duties of this position, an employee is regularly required to use hands to finger, handle, feel or operate objects, tools or controls and reach with hands and arms. The employee frequently is required to stand and talk or hear; walk or sit, and occasionally required to lift at least 40 lbs. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
