Applications received after that date may be considered until an adequate applicant pool has been established.DUTIES:This position is for an Administrative Assistant III that will work Half Time within the Department of Petroleum Engineering. The position is responsible for handling the day-to-day operation of the department through answering and directing phone calls, replying to emails, directing visitors and creating and maintaining filing systems for department documentation and relevant accreditation. The position also assists faculty with support for scheduling travel, meetings, and events, acting as recording secretary during meetings, and compiling and filing meeting minutes. Furthermore, this position is expected to research, gather, and compile information to analyze and produce reports or documents and will oversee components of budgets and department newsletters. Additional duties include maintaining calendars and inventories of office supplies and replenishing them as needed. This position will require extensive use of common office software including word processing, spreadsheet, and presentation applications as well as campus software for database, scheduling, budgeting and curriculum records. This position will also assist students to direct them to the right faculty member or staff to get the help they needed. Also, this position will be able to manage work study students and other student assistants for a smooth operation of the departments. This position will utilize BANNER and Oredigger Web to access student records.REQUIRED QUALIFICATIONS:
- High School Diploma + 2 years of office administration experience
- Effective public relations, interpersonal, and communication skills, including the ability to work with diverse groups of individuals and provide positive professional customer service
- Ability to handle conflicts and difficult situations in a timely and professional manner.
- Ability to problem solve and make sound decisions using good judgment, tact and sensitivity and with proper treatment of confidential and sensitive information
- High capacity to organize, prioritize, and pay attention to detail
- Skill in the use of operating basic office equipment; such as copier, scanner, fax machine.
- Knowledge of standard office practices and procedures
- Proficiency with computer operation and a wide variety of software applications including word processing, spreadsheets, and databases
- Experience in higher education
- BANNER software experience
