
Client Service Advisor

- Provide administrative support to the financial advisor, including processing meeting notes and managing related workflows
- Serve as the primary liaison between the clients and the advisor, ensuring timely communication and addressing clients inquiries
- Maintain and organize the financial advisor’s calendar, scheduling appointments, meetings and follow-ups
- Assist with client service requests, such as updating personal information, changing beneficiaries, and processing investment transactions
- Handle client correspondence and manage routine inquiries, delegating to the financial advisor as needed
- Perform data input tasks, ensuring accurate and up-to-date client records and information in the system
- Monitor and track ongoing tasks and projects to ensure timely completion
- Contribute to an organized and efficient office environment by supporting other administrative tasks as necessary
- Maintain conference room availability for financial advisor
- Review and input case notes into CRM, create workflow tasks/follow up and delegate work to appropriate team member
- Oversee insurance process to help facilitate applications and manage servicing needs
- Previous experience in a client service, administrative or support role, ideally within the financial services industry
- Excellent communication skills, both verbal and written, with a client-focused approach
- Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment
- High attention to detail and accuracy, especially with data input and record keeping
- Ability to work independently while also being a proactive team player
- Welcoming and approachable personality, coupled with strong customer service orientation
- Proficient in organizational tasks, using scheduling and calendar management software
- Familiarity with basic office software and equipment, including copiers, scanners and fax
- Proficient in Microsoft tools (Word, Excel, Outlook, Dynamics) and comfortable learning new software systems
- Ability to adapt to changing priorities and manage time efficiently
- High school diploma or equivalent
- Bachelor’s degree in business, finance or a related field preferred, but not required with relevant experience
- 2+ years of experience in a similar role within a financial advisory or client services setting
- Ability to handle confidential information with professionalism and discretion
- Life and health insurance licensing (or willingness to obtain in timely manner)
